Program Completion Officer

About the Role:

We are seeking a highly organized and detail-oriented Program Completion Officer to join our team at the University of Toronto. As a key member of our Student Academic Services group, you will play a critical role in enhancing the quality of student services for graduate students.

Key Responsibilities:

  • Apply University policies and procedures related to graduate program completion
  • Maintain accurate records for all tasks related to program completion administration
  • Generate reports and disseminate information to stakeholders
  • Coordinate operational workflows of program completion administration activities
  • Provide job-related training and serve as a resource to colleagues
  • Frequently respond to complaints and ensure rapid and accurate issue resolution or escalation
  • Support exam activities and related processes
  • Liaise with stakeholders to coordinate space and resource requirements
  • Liaise and track the distribution and return of convocation materials
  • Apply knowledge of systems to troubleshoot technical issues
  • Maintain records of final oral examination committee decisions, thesis outcomes, and manage the thesis tracking database
  • Review and assess student records to confirm eligibility to graduate

Requirements:

  • Bachelor's Degree or equivalent experience
  • Two years of recent and related experience in a university setting
  • Good working knowledge of the University's Student Information (ROSI) system
  • Demonstrated ability working with high volume and tight deadlines while maintaining accuracy and attention to detail
  • Computer and internet proficiency, including expertise in Excel, Sharepoint, and other MS Office Suite
  • Ability to interpret and apply guidelines and policies to various situations
  • Superior customer service and interpersonal skills
  • Highly developed problem-solving and analytical skills
  • Experience with event planning and preparation, including booking rooms
  • Demonstrated strong oral and written communication skills
  • Able to maintain confidentiality and ensure privacy of student information
  • Good judgment, tact, and discretion when dealing with sensitive information
  • Able to work independently and in a team environment
  • Knowledge of School of Graduate Studies' policies and procedures an asset

Estimated Salary Range: $66,715 - $85,319 annually, commensurate with experience.
