Marketing Assistant

Join our team at The Ottawa Hospital Foundation as a Marketing Assistant, where you will play a vital role in supporting the Chief Marketing Officer and the Marketing & Communications team. As a key member of our team, you will be responsible for providing administrative support, coordinating projects, and ensuring the smooth operation of our marketing efforts.

Key Responsibilities:
  • Provide administrative support to the Chief Marketing Officer, including calendar management, scheduling, and meeting coordination.
  • Coordinate with the Finance department to arrange timely payments and record expenses in the budget tracking document.
  • Coordinate with vendors to obtain estimates, quotes, and invoices, and ensure internal approvals.
  • Monitor emails received to our main marketing inbox and respond accordingly.
  • Liaise with the hospital's facilities staff to install and maintain physical and digital marketing assets.
  • Restock marketing collateral, order swag and promotional items, and maintain branded marketing materials.
  • Ensure accuracy and attention to detail in verifying information and recording data onto Excel and CRM databases.
  • Develop project management skills to ensure tasks are actioned and deadlines are met.
  • Learn and utilize new software, including Wrike and Raiser's Edge.
Requirements:
  • Administrative and/or project management experience.
  • Proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
  • Ability to learn new software and adapt to changing priorities.
  • Excellent communication and organizational skills.
  • Attention to detail and ability to work independently.
