The City of Mississauga is seeking a highly organized and detail-oriented Event Coordinator - Food Services to join our team. As a key member of our Food Services department, you will be responsible for coordinating and booking a variety of food service functions, conferences, and events.
Duties and Responsibilities- As the first point of contact for internal and external customers, you will provide exceptional customer service and respond to inquiries in a timely and professional manner.
- Work closely with the Food Services management team to develop and implement effective marketing strategies to promote food and beverage banquet facilities to customers.
- Evaluate client needs and develop customized event plans to meet their requirements.
- Provide accurate cost estimates and banquet event orders in a timely manner.
- Collaborate with the culinary team to plan menus and ensure seamless execution of events.
- Obtain and record event details on banquet event orders, confirm bookings, and effectively communicate event details to all related venues.
- Upsell and maximize revenue potential by identifying opportunities to increase sales and revenue.
- Follow up with clients after events to ensure satisfaction and gather feedback.
- Attend food and beverage trade shows to develop business relationships and stay up-to-date on industry trends.
- Develop and implement customer-friendly service programs to enhance the overall event experience.
- Update administrative documents and reports on a regular basis.
- Process invoices for banquet and catering services and forward them to the customer service centre.
- Work with administrative staff to reconcile monthly revenue.
- Act as a resource for Food Services and venue staff with respect to event details and logistics.
- Graduate of a post-secondary program in Hospitality or Event Management with at least 5 years of progressive event coordination experience in restaurants, catering, and/or conference/event coordination, sales, and marketing.
- Must possess Smart Serve Certification and be willing to obtain First Aid/CPR, Food Handlers, and WHMIS certification within 6 months of hire.
- Experience and working knowledge of wedding etiquette, banquet styles of service, cocktail receptions, conference/meeting requirements, golf tournaments, and theatre events.
- Extensive knowledge of Alcohol and Gaming Commission of Ontario rules, regulations, and endorsements.
- Competent computer literacy in MS Word, Outlook, and Excel.
- Ability to learn and apply various software programs, including ActiveNet Report Printing, SAP systems, and Silverware Point of Sale (or comparable POS systems).
- Excellent customer service skills with the ability to establish effective working relationships with both external and internal customers/coworkers.
- Ability to work in a fast-paced environment, prioritize tasks, and work under tight timelines.
- Must be able to work effectively in a team setting as well as independently.
- Excellent organizational skills with the ability to prioritize, follow up, and exercise good judgment with customer requests.
- Knowledge of corporate business trends and ability to prepare estimates and Request for Proposal (RFP's) accurately.
- The ability to work flexible hours, including evenings, weekends, and holidays, is required.
- Must possess a Valid Class 'G' driver's license and have access to a vehicle to attend various locations and events.
