Position Summary

The Payroll Administrator is crucial to the timely and accurate processing of payroll, year-end processes, and managing government reporting and remittances. This role ensures data and records integrity, engaging with auditors, implementing records management programs, and tracking payroll accuracy metrics. The administrator reports directly to the Director, Human Resources, collaborating with people leaders and the Manager, General Accounting.

Job Responsibilities:
  • Process biweekly payrolls for all employees, adhering to legislative and regulatory requirements.
  • Verify employee data updates are accurate based on supporting documentation.
  • Validate payroll file balancing before transmitting files to the bank.
  • Administer remittances to government institutions.
  • Develop processes to monitor tax compliance issues and concerns for employees.
  • Support HR Generalists in answering payroll-related questions and resolving discrepancies.
  • Lead the year-end process, collaborating with HR Manager, Director, HR, HRIS Advisor, and finance.
  • Generate and deliver statutory government filings, such as ROE's, T4's, and T4A's accurately and within the regulated timeline.
  • Respond to auditor and finance inquiries, demonstrating payroll process accuracy.
  • Maintain payroll process documentation, updating it when amended or updated.
  • Ensure payroll system integrity through quality improvement, auditing, testing, and education for end-users.
  • Reconcile payroll expenses with finance, providing payroll-related financial information.
  • Maintain benefit enrollment information in the payroll system and benefit providers' software, preparing reports as required.
  • Validate benefit provider invoices and submit for approval and payment.
  • Support union dues reporting and partner with finance to prepare union invoicing.
Job Qualifications:
  • 3-4 years of experience delivering payroll is required.
  • University degree in accounting, finance, business, or human resources is necessary.
  • Payroll Compliance Professional (PCP) designation is mandatory.
  • Experience working in UKG is preferred.
  • Delivering payroll in a self-management environment is an asset.
  • Proficiency in payroll software and advanced Excel is essential.
  • Demonstrated knowledge of related provisions in the Income Tax Act, Ontario Employment Standards Act, pension regulations, and WSIB reporting.
  • Continuous personal improvement, remaining knowledgeable about changes to the payroll system and government rules.
  • Excellent attention to detail, proven ability to work at a high standard of accuracy.
  • Able to work in a deadline-driven environment, handling time-sensitive inquiries accurately and efficiently.
  • Strong time management, organizational, and problem-solving skills.
  • Strong numeracy and mathematical skills.
  • Data-focused mindset and understanding of data architecture.
  • Maintaining confidentiality in communications and file management.
Salary Range:

$65,000 - $85,000 per annum, depending on experience.
