About the Role:

We are seeking a highly skilled and experienced Fleet Supervisor to join our team at All Weather Windows. As a key member of our operations team, you will be responsible for the supervision of our fleet personnel and the dispatching of our fleet equipment for customer orders.

Key Responsibilities:

  • Coordinate and manage the fleet and dispatch department to ensure efficient and cost-effective operations.
  • Organize and track regular maintenance of trucks and trailers in accordance with National Safety Code (NSC) requirements and company policies.
  • Dispatch drivers and fleet equipment in a timely and efficient manner, ensuring customer satisfaction and meeting delivery deadlines.
  • Communicate effectively with internal and external customers to ensure timely deliveries and resolve any issues that may arise.
  • Ensure all licenses and permits for fleet equipment are up to date and in compliance with regulatory requirements.
  • Train drivers on NSC requirements and company fleet policies.
  • Investigate and report on any accidents or incidents involving fleet equipment.
  • Review and approve vendor invoices and G/L codes for outside services, including maintenance work, fleet washes, and body work.
  • Monitor and submit completed International Fuel Tax Agreement (IFTA) reports for head office.
  • Develop and implement fleet process standards, Standard Work Instructions (SWIs), Standard Operating Procedures (SOPs), and Operational Work Diagnosis (OWD) to improve efficiency and reduce costs.
  • Ensure compliance with procurement-to-pay policy, track fleet and maintenance expenditures, and explore cost control opportunities through innovations and price negotiations.
  • Track and drive improvements in fleet Process Indicators (PIs) and Key Performance Indicators (KPIs).
  • Monitor fuel supply, issuance, consumption per vehicle and driver, and implement actions to manage consumption and reduce costs.
  • Ensure compliance with preventive and corrective maintenance schedules and manage maintenance Service Level Agreements (SLAs).
  • Provide current and accurate fleet data and information for capture on the Fleet Master Data.
  • Drive process standardization and best practice implementation across all Customer Solution Centres (CSCs).
  • Liaise with the procurement team on fleet procurement, replacement, and disposal.
  • Address and resolve Fleet/Driver complaints and respond accordingly.
  • Arrange and chair driver meetings, including booking locations, special speakers, and arranging agendas.
  • Investigate and secure accident scenes.
  • Supervise fleet and transportation employees, ensuring compliance with fleet safety protocols, including DOT inspections, FLHA, and routine inspections as required by law and company policies.
  • Examine and sign drafted performance reviews at 3- and 6-month, and 1-year intervals, when employees change bands, disciplinary performance reviews/performance improvement plans; issue recommendations as needed.
  • Hire and train new fleet employees, including completing road tests and vehicle inspections.
  • Discipline employees as required.
  • Approve and monitor drivers' pay.
  • Issue and monitor drivers' uniforms, track repairs, lost or stolen items, and changes in styles.

Requirements:

  • 3-5 years of fleet experience.
  • Experience in warehouse management, shipping, and scheduling.
  • Dispatching experience an asset.
  • Management and/or supervisory experience an asset.
  • Fleet maintenance competency and experience an asset.
  • Class 1 Driver's License.
  • PDIC Training.
  • Log book and hours of service.
  • Vehicle inspection training.
  • LCV certified.
  • Load securement an asset.
  • New Vehicle Rig up and Vehicle disposal.
  • Must pass pre-employment Drug & Alcohol Testing.
  • Must be willing to provide a satisfactory Driver's Abstract.
