Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As a key member of our office, you will play a crucial role in maintaining the smooth operation of our office and providing exceptional customer service to our clients and visitors.

Key Responsibilities

  • Provide exceptional customer service by greeting clients and visitors with a positive and helpful attitude.
  • Support our team by assisting with various administrative tasks, including photocopying, note-taking, and ensuring invoices are paid.
  • Manage communications by answering and forwarding phone calls professionally and efficiently, and handling mail distribution.
  • Work closely with the Director of Finance to manage purchase orders, code and post invoices, maintain statements, journal receipts, and handle bank deposits.
  • Provide reception duties by addressing inquiries and directing calls.
  • Coordinate events by booking and invoicing casual ice rentals, and collaborating with tenants to schedule spaces within the arena.
  • Collaborate with colleagues to perform administrative tasks and assist with ad-hoc duties as needed.

Requirements

  • Experience: Minimum of 2 years in a professional office setting.
  • Professionalism: Consistent, professional dress and manner.
  • Communication Skills: Excellent written and verbal communication abilities.
  • Tech-Savvy: Competency in Microsoft Word, Excel, and Outlook.
  • Time Management: Strong organizational skills with good time management.
  • Administrative Expertise: Experience with clerical procedures.
  • Team Player: Able to contribute positively as part of a team, helping with various tasks as required.
  • Problem Solving: Able to provide creative solutions to complex problems.
  • Ability to Work Under Pressure: Experience with juggling multiple tasks with looming deadlines.
