Job Summary: We are seeking an experienced Office Administrative Assistant to join our team at INSPIRE TRUCK DRIVING ACADEMY. As an Office Administrative Assistant, you will be responsible for coordinating the flow of information within the team, directing and controlling daily operations, and evaluating daily operations to ensure efficiency and productivity.

Key Responsibilities:

  • Coordinate the flow of information within the team to ensure seamless communication and collaboration.
  • Direct and control daily operations to meet the needs of the team and the organization.
  • Evaluate daily operations to identify areas for improvement and implement changes to increase efficiency and productivity.
  • Plan and organize daily operations to ensure that tasks are completed on time and to a high standard.
  • Determine and establish office procedures and routines to ensure consistency and efficiency.
  • Schedule and confirm appointments to ensure that meetings and events run smoothly.
  • Manage contracts to ensure that agreements are in place and that deadlines are met.
  • Answer telephone and relay telephone calls and messages to ensure that communication is clear and effective.
  • Answer electronic enquiries to provide information and support to customers and stakeholders.
  • Oversee the development of communication strategies to ensure that messages are clear and effective.
  • Oversee the preparation of reports to provide insights and recommendations to stakeholders.
  • Order office supplies and maintain inventory to ensure that the office is well-stocked and organized.
  • Greet people and direct them to contacts or service areas to ensure that customers and visitors are welcomed and supported.
  • Set up and maintain manual and computerized information filing systems to ensure that information is accurate and up-to-date.
  • Type and proofread correspondence, forms, and other documents to ensure that they are accurate and professional.
  • Perform data entry to ensure that information is accurate and up-to-date.
  • Conduct performance reviews to evaluate the performance of team members and provide feedback and coaching to improve performance.
