About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Olive Physiotherapy and Sports Injury Clinic. As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our medical office.

Key Responsibilities
  • Coordinate the Flow of Information: Manage and maintain accurate and up-to-date patient records, ensuring that all necessary information is readily available for healthcare professionals.
  • Interview Patients: Conduct thorough interviews with patients to obtain comprehensive case histories, providing essential information for healthcare professionals to make informed decisions.
  • Administrative Support: Provide administrative support to healthcare professionals, including opening and distributing mail, scheduling appointments, and maintaining filing systems.
  • Training and Development: Train staff in procedures and software, ensuring that they have the necessary skills to perform their duties effectively.
  • Insurance and Claims: Complete insurance and claim forms, ensuring that all necessary documentation is accurate and up-to-date.
  • Supply Management: Order supplies and maintain inventory, ensuring that the medical office is well-stocked and equipped to meet the needs of patients and healthcare professionals.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations as needed.
  • Office Procedures: Determine and establish office procedures and routines, ensuring that the medical office runs efficiently and effectively.
  • Medical Reports: Enter and format electronically based medical reports and correspondence, preparing spreadsheets and documents for review.
  • Confidentiality: Initiate and maintain confidential medical files and records, ensuring that patient information is protected and secure.
  • Meetings and Minutes: Prepare draft agendas for meetings and take, transcribe, and distribute minutes.
  • Data Entry: Perform data entry, ensuring that all necessary information is accurately recorded and up-to-date.
  • Customer Service: Provide exceptional customer service to patients and healthcare professionals, responding to inquiries and resolving issues in a timely and professional manner.
Requirements
  • Computer and Technology Knowledge: Proficient in MS Word, Electronic Mail, MS Excel, MS Windows, and MS Outlook.
  • Area of Work Experience: Experience working with charts, tables, graphs, and diagrams, contracts, correspondence, financial statements, invoices, reports, and records.
