Job Summary

Thompson Rivers University is seeking a highly organized and detail-oriented Divisional Secretary II to provide administrative support to our team. As a key member of our administrative staff, you will be responsible for providing exceptional customer service, managing correspondence, and maintaining accurate records.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the division, including responding to correspondence, managing calendars, and coordinating travel arrangements.
  • Record Keeping: Maintain accurate and up-to-date records, including filing, data entry, and report preparation.
  • Communication: Develop and maintain effective communication with staff, students, and external stakeholders, including preparing and disseminating information.
  • Event Planning: Assist in planning and coordinating events, including arranging logistics, catering, and audio-visual equipment.
  • Policy and Procedure Development: Assist in the development and maintenance of policies and procedures, including researching and drafting documents.
Requirements
  • Education: Grade 12 plus six months' post-secondary education or equivalent.
  • Experience: Two years' related experience, including one year's experience with electronic word processing and data entry.
  • Skills: Ability to perform electronic word processing at 60 wpm and data entry, ability to deal courteously and tactfully with staff, students, and members of the general public, ability to communicate effectively both verbally and in writing, ability to plan and organize work, and ability to operate related equipment such as photocopiers and fax machines.
Working Conditions
  • Work Environment: Sitting at desk and computer for periods of time, general office conditions.
