About the Position
We are seeking an accomplished Executive and Administrative Assistant to support the Prentice Institute for Global Population and Economy. The successful candidate will provide administrative support to the Director and Associate Directors, focusing on calendar management, communication, file management, and event planning.
Key Responsibilities- Calendar Management: Ensure the Director's calendar is up-to-date, scheduling meetings and protecting their time for teaching prep, writing, research, and other administrative tasks.
- Communication: Manage incoming communications to the Institute's general inbox and phone line, preparing and editing emails, letters, reports, agendas, minutes, presentations, and other written material as needed.
- File Management: Maintain accurate and up-to-date files of all Institute documents, planning and organizing events such as meetings, open houses, and conferences.
- Discretion and Confidentiality: Demonstrate a high degree of discretion and confidentiality in managing sensitive information.
- Communication Skills: Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
- Technical Skills: High proficiency with the Microsoft suite of products, including Outlook, Calendar, Teams, SharePoint, and Office.
- Academic Background: Minimum high school diploma; diploma in Office Administration or equivalent preferred; baccalaureate education ideal.
