Job Title: Program Assistant, Self Employment Program

Job Summary:

The Program Assistant, Self Employment Program will provide administrative support to the Self Employment Program team. This includes data collection, record keeping, client referrals, and waitlists. The successful candidate will have excellent communication skills, both written and verbal, and be able to work effectively in a team environment.

Key Responsibilities:
  • Maintain knowledge of the availability and eligibility requirements of the Self Employment Program
  • Coordinate with Business Advisors, rental space, and event booking partners to ensure deliverables are completed
  • Ensure Timesheets are completed in a timely manner and are accurate and completed correctly before they are signed by the Manager
  • Support Manager in completing expense claims and ensure claims are filled out accurately
  • Assist with event planning and event management
  • Perform all administrative duties related to the program, such as compiling data for reports, waitlists, attendance sheets, client feedback, etc.
  • Compile and maintain program statistical information
  • Manage, track, and distribute resources for program clients
  • Perform opening and closing office procedures at Program delivery sites
  • Attend and/or assist in organizing related program events
  • Support Manager in the preparation of funding proposals and program budgets
  • Keep Manager informed of significant developments
  • Type and edit program correspondence, including reports and other documents
  • Assist with program promotion to community services, the media, and DIVERSEcity's programs
  • Check supply inventories, order, and purchase program materials with approval from Manager
Requirements:
  • Post-secondary training or certificate in Office Administration and a minimum of 2 years of experience in an office environment
  • Recent, relevant experience working in administration in non-profits is an asset
  • Strong English communication skills, written and oral
  • Access to a vehicle and valid driving license
  • Ability to communicate effectively with people with limited English proficiency
  • Excellent computer and Internet skills (advanced knowledge of MS Office, Excel, CRM databases, and other databases), with a typing speed of 50wpm
  • Competency with office equipment, procedures, and business communications
  • Professional telephone manners and good interpersonal skills
  • Ability to work cooperatively within a team
  • Excellent organizational and time-management skills
  • Exhibits cross-cultural competency
