The successful candidate will be responsible for providing exceptional support to the Division Head, including HR-related functions, physician recruitment, and maintaining good working relationships with department members and affiliated clinical personnel.

Key Responsibilities
  • Provide confidential administrative and secretarial support to the Division Head of Gynecologic Oncology
  • Support HR-related functions, including physician recruitment and onboarding
  • Maintain good working relationships with department members and affiliated clinical personnel
  • Provide exceptional customer service to patients, families, and physicians
  • Manage and maintain accurate and up-to-date records and files
  • Develop and implement effective administrative systems and processes
  • Collaborate with other departments to ensure seamless communication and coordination
Requirements
  • Community College Diploma from a recognized two-year College program or equivalent combination of education and experience
  • Minimum 5 years secretarial experience in a medical secretarial role
  • Minimum 1 year experience in the telephone triaging of patients
  • Medical Terminology Certificate 1 and 2
  • Previous related experience in O/R bookings
  • Demonstrated proficiency in Word, Excel, PowerPoint, Outlook, Meditech, EPIC Hospital Information System, and Novari
  • Proficient keyboarding skill 60 w.p.m.
  • Ability to transcribe from dictation
  • Excellent verbal/written communication skills and proficiency in English grammar
  • Demonstrated interpersonal skills with the ability to effectively handle inquiries from a variety of sources
  • Excellent organizational and prioritization skills
  • Demonstrated initiative and ability to work under pressure and meet deadlines
  • Highly motivated and self-directed
  • Tact and discretion in dealing with confidential matters
  • Ability to work independently and identify priorities
