Job Description

The Portfolio Administrator plays a crucial role in the effective management of institutional accounts and Fund trades. They will interact with clients, auditors, custodians, and multiple stakeholders from internal departments to ensure seamless communication flow.

Main Responsibilities

  • Reconcile client portfolio cash balances with custodian records on a daily basis.
  • Perform monthly reconciliation of client portfolio holdings and custodian records.
  • Process and verify daily cash flows from custodians and clients, resolving any discrepancies that may arise.
  • Verify processed transactions in portfolios and resolve discrepancies.
  • Manage cash balances to ensure no overdrafts and excess cash is invested (T-bills, MMKT Fund), alerting traders as needed.
  • Notify Portfolio Managers and Traders of large cash flows and unusual activities.
  • Instruct FXs based on cash requirements.
  • Respond to inquiries from clients, custodians, auditors, and internal departments.
  • Compile and send out daily, weekly, and monthly reports to clients and custodians.
  • Review and send out quarterly compliance reports to clients.
  • Price client-made Small Cap Funds daily.
  • Follow and complete opening and closing procedures for client accounts.
  • Process Derivatives (Forwards/Futures), maintain margin accounts, and email trades to clients' custodians as requested.
  • Send unmatched Bond emails to brokers for Settlements Administrator to follow up.
  • Train other Administrators on assigned accounts and provide backup support as needed.

Requirements

  • Work half days on Canadian Stat Holidays where the US market is open, alternating with other Portfolio Administrators.
  • Demonstrate high proficiency in MS Office Suite: Outlook, Excel, Word.
  • Show experience in creating client reports.
  • Have knowledge of SS&C Products (Recons, Pacer).
  • Demonstrate attention to detail to ensure accuracy of records and transaction processing.
  • Show ability to multitask and prioritize deadlines.
  • Successful completion of the Canadian Securities Course is an asset.
  • Bloomberg experience is also an asset.
