Job Title: Payroll Coordinator

Halifax Public Libraries is seeking a highly skilled Payroll Coordinator to join our Human Resources team. As a key member of our team, you will be responsible for ensuring the accurate and timely processing of payroll for all employees.

About the Role:

The Payroll Coordinator will be responsible for:

  • Processing bi-weekly payroll, ensuring all necessary timesheet/payroll data is received, analyzed, calculated, audited, and entered in the payroll system in accordance with the collective agreement and conditions of employment.
  • Investigating and resolving employee payroll concerns and responding to inquiries from employees and outside agencies.
  • Performing multiple audits and investigating all data in the payroll system to ensure data integrity, taking corrective action as necessary.
  • Compiling data/ preparing reports and responding to requests from internal and external contacts.
  • Reconciling terminations, retirement, and leaves of absence for recovery of earnings, overpayments, garnishments, and advance pays.
  • Monitoring and adjusting leave entitlements such as vacation, sick leave, lieu time, and purchased leave to ensure employee entitlements are accurate.
  • Setting up new employees and positions in the payroll system consistent with terms and conditions of employment.
  • Maintaining payroll-related documentation, tracking sheets, and files.
  • Making recommendations to payroll procedures relating to process improvement and ensuring processes are documented.
  • Seeking and attending training and professional development opportunities to stay current on changing payroll legislation, practices, and technology.
  • Compiling, analyzing, and authorizing Records of Employment ensuring compliance with Service Canada requirements.
  • Providing support to the People and Culture team, including preparing HR correspondence and employment-related letters.
Requirements:

To be successful in this role, you will require:

  • Completion of two (2) years post-secondary education and two (2) years related experience, or completion of Grade twelve (12) or equivalent and four (4) years related experience.
  • Excellent communication skills.
  • Strong analytical and problem-solving skills.
  • Excellent customer/client service skills.
  • Demonstrated ability to be flexible and adaptable.
  • Exceptional attention to detail and organization skills.
  • Intermediate to advanced knowledge of and experience with computer applications: Microsoft Office, SAP/HR, or computer-based payroll systems.
  • Intermediate technology skills: willingness to learn and experiment with additional tools and technologies, willingness to support others in learning technical skills and concepts.
  • Knowledge of payroll and employment legislation and requirements, EI, WCB, Canadian Payroll, Canada Revenue Agency, and Service Canada and Privacy regulations/legislation.
Assets:

Experience working in a unionized environment, knowledge of collective agreements and Pension & Benefits plans, Payroll Compliance Professional (PCP) designation or equivalent.
