Job Description

The Front Desk Receptionist is the first point of contact for visitors and clients, responsible for creating a welcoming and professional environment. This role involves managing the front desk, answering and directing calls, handling inquiries, and performing various administrative duties.

Key Responsibilities
  • Greet and welcome visitors and clients with a positive and helpful attitude.
  • Maintain a visitor log, ensuring all guests are properly documented and have appropriate access.
  • Provide general information about the company, including services, office hours, and directions.
  • Ensure the reception area is tidy and presentable, with all necessary materials.
  • Answer and direct incoming phone calls to the appropriate department or personnel.
  • Manage voicemail messages and ensure timely follow-up on inquiries.
  • Sort and distribute incoming mail and handle outgoing mail, including arranging courier services.
  • Perform data entry tasks, maintaining accurate and up-to-date records and databases.
  • Prepare documents, reports, and presentations as required.
  • Provide support for company events and activities, including logistical arrangements and guest coordination.
  • Operate and maintain office equipment, such as fax machines, copiers, and computers.
Requirements
  • Additional course work or an associate degree in business administration, office management, or a related field.
  • Previous experience in a front desk, reception, customer service, or administrative role.
  • Excellent verbal and written communication skills for interacting with visitors, clients, and staff.
  • Demonstrated ability to provide excellent customer service with a friendly and professional demeanor.
  • Ability to handle inquiries and complaints with tact and diplomacy.
  • Proficiency in using office equipment, such as telephones, fax machines, photocopiers, and computers.
  • Competence with office software applications, particularly Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to sit, stand, and walk for extended periods.
