Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at WRHA Community Health Services. The successful candidate will provide general administrative support for our Community Health programs, ensuring the smooth operation of our facilities and services.

Key Responsibilities
  • Provide switchboard and reception services, responding to inquiries and directing calls as needed.
  • Perform data entry and processing, maintaining accurate and up-to-date records.
  • Process and distribute incoming and outgoing mail, faxes, and other documents.
  • Manage inventory, ordering supplies and equipment as required.
  • Coordinate meetings and appointments, ensuring efficient use of time and resources.
  • Maintain a daily staff away/coverage list, ensuring seamless coverage during absences.
  • Perform various other administrative duties as required, including filing, photocopying, and record-keeping.
Requirements
  • Two years of related experience, preferably in a healthcare or administrative setting.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Ability to learn and adapt to new computerized programs and systems.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications
  • Bilingualism in English and French, with the ability to communicate effectively in both languages.
  • Experience working in a healthcare or administrative setting, with knowledge of medical terminology and procedures.
  • Knowledge of inventory management and supply chain processes.
  • Ability to work independently, with minimal supervision, and as part of a team.
