Position Overview

Reporting directly to the Executive Assistant to the President & CEO, this role serves as a vital intermediary support, responsible for conducting critical analysis, research, and the preparation of executive-level documentation that aligns with Bethany's vision, mission, and strategic objectives. The primary responsibilities include delivering high-level administrative and project-based support to advance the strategic initiatives of the President & CEO's office. This position demands exceptional interpersonal, communication, analytical, and diplomatic skills.

Key Responsibilities

Service Excellence: Cultivate and manage relationships with the Executive Team, Clients, Board members, and all levels of staff at Bethany. Collaborate closely with the Executive Team and the Executive Assistant to the President and CEO, focusing on the following performance measures:

CEO Support

  1. Prepare comprehensive briefings and updates for the CEO in advance of meetings, committees, and events.
  2. Organize and prepare for meetings and corporate events, ensuring all materials are available, accurate, and timely.
  3. Review CEO communications, such as briefing notes, and prepare prompt responses to inquiries.
  4. Assist the CEO in managing confidential or sensitive personnel and organizational matters.
  5. Provide coverage for the Executive Assistant and reception duties as required.

Board Governance

  1. Support the Board governance team and ensure the successful implementation of governance practices within Bethany.
  2. Research best practices and draft Board policies, providing necessary information on policies, processes, and documents for each committee while maintaining governance accreditation standards.
  3. Coordinate Board and committee meetings, including the creation of meeting agendas, preparation of documents, and management of the Board's information-sharing portal.
  4. Oversee all internal and external governance records, documents, and processes.

Project Management

  1. Prepare briefing memos and relevant updates for the CEO regarding ongoing projects, identifying issues, developing contingencies, and proposing solutions.
  2. Ensure timely preparation and presentation of project materials for key external and internal meetings.
  3. Facilitate effective communication, acting as a liaison between the CEO and internal and external stakeholders.
  4. Assist in managing special projects on behalf of the Executive team.
  5. Lead and support projects for the Foundation and Executive Leadership Team as needed.

Regulatory Compliance

  1. Develop and monitor compliance checklists to ensure that assigned projects adhere to federal, provincial, and governing regulations.

Research and Analysis

  1. Conduct environmental scans and content research to support the CEO's initiatives or programs, preparing draft documents following thorough analysis.

Qualifications

Education:

  1. Certificate or diploma in Office or Business Administration or a related field.

Experience & Skills:

  1. Over 5 years of administrative experience at a senior level.
  2. Proven experience in leading an administrative support team.
  3. Experience interacting with a Board of Directors is advantageous.

Essential Skills:

  1. Exceptional organizational skills, adaptable, and capable of multitasking, with a demonstrated ability to prioritize effectively.
  2. Strong analytical skills, with the ability to quickly aggregate and assess information.
  3. Proficient in writing reports and business correspondence, with outstanding grammar and proofreading capabilities.
  4. Ability to present information and respond to high-level inquiries from clients, donors, partners, Board Directors, and other stakeholders.
  5. Capacity to manage stressful situations with composure and decisiveness.
  6. Advanced skills in Excel and Microsoft Office applications.
  7. Guided by a strong sense of common sense, maturity, discretion, and the ability to maintain confidentiality.
  8. High level of accountability, integrity, and capability to manage highly visible responsibilities.
  9. Strong verbal and written communication skills; ability to effectively present and execute innovative ideas.
