The Billing Coordinator will be part of our Accounting team in Fredericton, working closely with Project Managers and Sector Leads.

The day-to-day responsibilities of this role include:

  • Communicating with stakeholders regarding contract documents, change orders, and billing-related matters
  • Setting up projects in Deltek and managing budgets and backlogs throughout their lifecycle
  • Preparing final invoice packages containing draft and final invoices, as well as backup documentation
  • Mailing final invoices and filing client copies and backup documents
  • Assessing opportunities for maximizing client billing and communicating findings to relevant parties
  • Researching unbilled issues to optimize billing possibilities
  • Maintaining project billing folders with all necessary documents
  • Investigating project variances and submitting reports to management
  • Carrying out progress project reports
  • Providing advice on client billing to accounts payable team members
  • Working with cash receipts team members to reconcile variances in cash application
  • Collaborating with accounts receivable team members on unpaid project billings
  • Writing off uncollectible receivables and labor or expense write-offs as directed
  • Closing out projects upon completion
  • Preparing special project analyses for Sector Leads, PMs, and Billing Management
  • Compiling information for internal and external audits
  • Performing additional assignments as directed by the Billing Manager
  • Coordinating with local offices
