About the Role
WestRock, a global leader in sustainable paper and packaging solutions, is seeking an experienced Administrative Director to join its team. As a key member of the plant management team, this individual will work closely with the General Manager and Accounting Manager to ensure the smooth operation of the facility.
Key Responsibilities
- Oversee accounting, control, and administrative functions of the office, ensuring compliance with company policies and procedures.
- Implement human resources policies and procedures in collaboration with the Plant HR Manager.
- Manage project budgets, invoicing, collections, and financial performance of the plant.
- Prepare regular reports for senior management, including financial statements and performance metrics.
- Assist in compiling monthly, quarterly, and annual reports, as well as projections.
- Support the General Manager and Regional Vice President in budget preparation.
- Manage daily office activities and provide support as needed.
- Develop and implement plans to achieve departmental objectives.
- Maintain employee and financial records, adhering to WestRock's regulations.
- Reconcile creditor and debtor accounts to ensure accurate payments and receipts.
- Prepare and distribute routine and standardized reports and correspondence.
- Assist with month-end closing, including journal entries, P&L review, and balance sheet reconciliation.
- Ensure SOX compliance procedures are in place.
- Supervise and mentor direct reports, providing ongoing guidance and feedback to improve independent thinking and task execution.
- Assist with payroll data entry, employee records, and benefits administration.
- Conduct annual performance reviews, leveraging historical data and documentation to inform feedback.
- Prepare and distribute routine and standardized reports and correspondence.
- Coordinate HR-related matters for all plant employees, providing necessary information to support and resolve issues.
- Manage time-keeping systems, such as PeopleSoft, Kronos, WFS, etc.
- Support ministerial initiatives and the General Manager to ensure strong communication.
- Collaborate with internal and external suppliers.
- Responsible for the Purchasing Department.
Requirements for Success
This role requires a strong ability to coordinate, supervise, and monitor the work of office and administrative staff; excellent oral and written communication skills; and a customer service mindset. The ideal candidate will have:
- More than 3 years of experience in supervising employee management.
- A Bachelor's degree in Business Administration, Finance, or Accounting.
- Preferred: 1+ year of experience in manufacturing and production.
- Intermediate to advanced computer skills (e.g., Microsoft Office - Excel, Word, Outlook).
- Preferred: Accounting software experience (e.g., JD Edwards).
- Preferred: Experience with inventory and data entry systems (e.g., AS400).
- Bilingual proficiency in French and English, with English required for communication with suppliers, clients, and external employees.
