Job Summary

We are seeking an experienced Supervisor, Office Clerks to join our team at West Coast Title Search Ltd. as an Administrative Supervisor. The successful candidate will be responsible for overseeing the day-to-day operations of our office, ensuring that all tasks are completed efficiently and effectively.

Work Site Environment

The successful candidate will work in a fast-paced business environment, with a large caseload and tight deadlines. They will be required to work under pressure and maintain attention to detail.

Work Setting

The Administrative Supervisor will work in a business office setting, with a team of 3-4 people. They will be responsible for co-ordinating activities with other work units or departments, and ensuring that procedures are followed and deadlines are met.

Tasks
  • Develop specific plans to prioritize tasks and ensure that work is completed efficiently.
  • Organize tasks to accomplish the work, and train workers in duties and policies.
  • Prepare and submit reports, and resolve work problems, provide technical advice and recommend measures to improve productivity and product quality.
  • Co-ordinate, assign and review work, and co-ordinate activities with other work units or departments.
  • Type and proofread correspondence, forms and other documents, and schedule work.
  • Maintain filing systems, and establish work schedules and procedures.
  • Answer telephone and relay telephone calls and messages, and answer electronic enquiries.
  • Compile data, statistics and other information, and train other workers.
  • Establish work priorities and ensure that procedures are followed and deadlines are met, and prepare and key in correspondence and legal documents.
  • Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage.
  • Set up and maintain manual and computerized information filing systems.
Supervision

The Administrative Supervisor will be responsible for supervising a team of 3-4 people, and will be required to make decisions and take action to resolve problems and improve productivity.
