We are seeking a highly organized and detail-oriented Receptionist to join our team at Seabird Island Band. As a key member of our administrative staff, you will be responsible for providing exceptional customer service, managing front desk operations, and supporting the overall efficiency of our office.
Key Responsibilities- Front Desk Operations: Greet and assist students, parents, staff, and visitors with inquiries and concerns.
- Phone and Email Management: Answer and direct incoming phone calls to the appropriate personnel or department, and manage email correspondence.
- Reception Area Maintenance: Ensure the reception area is tidy, welcoming, and properly stocked with supplies.
- Courier and Correspondence Management: Administer and manage outbound couriers, including priority post, packages, and other correspondence.
- Data Compilation and Reporting: Assist in compiling data for various reports, as needed.
- Information Provision: Provide information to staff and/or clients about special activities, as required.
- Emergency Procedures: Ensure that the appropriate evacuation procedures are carried out in the event of an emergency.
- Security and Confidentiality: Observe and report any security issues to supervisor, and maintain confidentiality of sensitive information.
- Message Taking and Recording: Take and record telephone, email, or written messages for staff members.
- Document Preparation: Type forms, letters, reports, and memos as necessary.
- Correspondence Receipt and Referral: Receive various forms of paper correspondence, and refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
- Education and Experience: Formal education or training in office administration or a related field, with at least 2 years of relevant experience working within Indigenous communities, focusing on receptionist duties.
- Cultural Competency: Deep understanding of Indigenous cultures, traditions, and contemporary issues, with experience working within Indigenous communities and applying culturally safe practices.
- Communication and Relationship-Building Skills: Excellent communication and relationship-building skills, with the ability to respond quickly and professionally to community or colleague needs and inquiries.
- Indigenous Heritage: Indigenous candidates are strongly encouraged to apply, with a preference for candidates with lived experience as a member of a First Nations community.
- Knowledge and Understanding: Knowledge and understanding of Seabird Island's culture, traditions, teachings, community dynamics, and the ability to apply this knowledge in a work setting.
- Initial and Ongoing Employment: Initial and ongoing employment is subject to submission of a clear Criminal Record Review Program Check to ensure the safety and trust of the communities we serve.
