Overview

The Manager, Examinations & Classrooms oversees final examination scheduling and administration at the University of Waterloo. This role directs the maintenance of Registrar's Office-managed classrooms, manages furniture inventory, and coordinates exam scheduling activities.

Responsibilities

Operations Management

  • Leads daily operations of the examinations unit within the Registrar's Office.
  • Develops plans to ensure high-quality, efficient support for faculty and stakeholders.
  • Builts a culture of continuous improvement.

Final Examination Schedule

  • Oversees all aspects of final examination schedules.
  • Communicates requirements and initiatives with academic departments.
  • Coordinates conflict-free final exam schedules.

Final Examination Print Management

  • Supervises the completeness and consistency of final examinations printed through the Registrar's Office.
  • Reconciles printing costs and reports mistakes.
  • Verifies upload and submission of final exam masters.

Final Examination Management

  • Creates a cycle of events for new exam scheduling cycles.
  • Updates and maintains Exam Regulations.
  • Posts and maintains the Final Examination Schedule.

Classroom Management

  • Tracks and maintains the Registrar's Office furniture inventory.
  • Arranges replacement or repair of missing or damaged furniture.
  • Ensures accessibility needs are met in centrally managed classrooms.

Training and Communication

  • Conducts regular training workshops and provides one-on-one coaching.
  • Fosters partnerships with Departmental Exam Representatives.
  • Coordinates with the Registrar's Office Communications team.

Knowledge, Expertise, and Continuous Improvement

  • Participates in ongoing training to ensure knowledge base.
  • Works with the Registrar's Office Communications Team to educate stakeholders.
  • Coordinates the collection of data for final examinations.

Leadership and Management

  • Leads, manages, and supervises staff.
  • Assigns and prioritizes tasks, establishes goals, and evaluates performance.
  • Conducts Annual Performance Plans with direct reports.

Qualifications

  • University or college degree with administrative experience.
  • 3+ years working in an academic environment.
  • 2 years' experience leading staff and overseeing their work.
