As an Indigenous-led organization, we provide a range of programs and services that focus on the wholeness, wellness, and resilience of Indigenous people.
The Opportunity
We are seeking an Administrative Coordinator to join our team at Velma's House. The successful candidate will provide day-to-day administrative support, including collecting and distributing information, facilitating meetings, taking minutes, and providing ongoing leadership support.
Key Responsibilities
- Provide reception support, including greeting and hosting guests, answering phone calls and emails, and directing communication to the appropriate person.
- Receive, sort, and inform staff of mail, messages, and deliveries.
- Prepare spaces for meetings, building tours, and site visits.
- Manage, order, and distribute inventory, including office supplies, harm reduction tools, and housekeeping products.
- Attend the Workplace Health and Safety Committee.
- Update internal staff communications boards.
- Manage, monitor, and track donations.
- Data entry of high-volume statistics.
- Create a monthly calendar of events for staff and guests.
- Assist frontline staff in the drop-in space by providing referral and resource information.
- Assist in entry-level finance tasks, such as cheque requisitions, expenses, and purchase orders.
- Maintain strict confidentiality in all organizational policies and procedures.
Requirements
- Demonstrated understanding of issues related to mental health, gender-based violence, problematic substance use, and sexual exploitation.
- Knowledgeable on resources and systems within Winnipeg.
- Commitment to cultural reclamation practices and Two-Eyed Seeing.
- Able to communicate effectively, both verbally and in writing.
- Proficient in a variety of administrative tasks with a strong attention to detail and organization.
- Customer-service oriented and able to anticipate needs.
- Understanding of harm reduction principles and trauma-informed care.
- Understanding of systems of oppression and ability to apply anti-oppression measures.
- Commitment to equality, diversity, and inclusion, including issues impacting the 2SLGBTQ+ community.
- Proficient in MS Office Suite (Word, Excel, Outlook, and Teams).
- Highly proficient in interpersonal and emotional intelligence skills.
- Team player who is able to work safely and collaboratively in fast-paced and high-needs environments.
Education and Experience
- 1-3 years of related formal training (mental health, social work, family studies, gender-based violence, substance training, community health, etc.), work experience, and combined lived experience are all valued.
- Must be legally entitled to work in Canada.
- Satisfactory completion of recent (as of the last 6 months) Criminal Record Check with Vulnerable Sector Search; Child Abuse Registry Check; Adult Abuse Registry check.
- Current Emergency First Aid Certificate and CPR.
- Non-Violent Crisis Intervention or related Crisis Management Training.
- Opioid Reversal Training.
- Mental Health First Aid and ASIST training is an asset.
- Valid Manitoba Class 5 Driver's License.
