The KF Aerospace Centre for Excellence Association is a not-for-profit organisation dedicated to promoting and advancing excellence in the field of aerospace. Our principal activity is operating the KF Aerospace Centre for Excellence, a museum and meeting facility that showcases the rich history of aerospace in British Columbia and the Okanagan Valley.
About the Role
We are seeking a highly skilled Finance and Administration Manager to join our team on a full-time basis. This hands-on position will report directly to the Executive Director and be responsible for all financial reporting and accounting functions. The successful candidate will also provide administrative support to the Executive Director and may oversee other staff members.
Key Responsibilities
- Timely and accurate preparation of all accounting and financial reports, adhering to Generally Accepted Accounting Principles (GAAP)
- Manage the organisation's financial affairs in accordance with approved budgets
- Ensure adherence to board-approved Financial Controls policy
- Comply with tax, legal, and government requirements
- Prepare operational and capital budgets, as well as monthly and quarterly financial reports
- Coordinate quarterly funding requests for board approval and to support centre operations
- Attend board meetings to present financial information upon request
- Liaise with external accountants regarding financial statements
- Serve as the primary point of contact for staff, customers, and suppliers on financial inquiries, payments, and collections
- Analyse statistics and prepare related reports
- Provide administrative support to the Executive Director, including scheduling internal and external meetings, ordering supplies, and assisting with correspondence, presentations, and reports
- Maintain filing systems and perform other duties as required
Accounting-Related Responsibilities
- Accurate recording of accounts payable, accounts receivable, invoicing, banking, cash management, and all financial transactions
- Maintenance of accounting structures to support centre operations
- Reconciliation and maintenance of general ledger accounts
- Processing and issuing invoices for events and activities
- Cash and collection management
- Remittance and reconciliation of PST and GST returns
- Damage deposit management
- Payment of suppliers and vendors
- Management and reconciliation of bank accounts
- Data input and analysis in accounting systems
- Inventory tracking
Requirements and Competencies
- CPA designation or equivalent qualification
- At least three years' equivalent experience, preferably in a not-for-profit setting
- Attention to detail
- Strong communication skills
- Ability to work collaboratively and independently
- Computer literacy, including Sage Bookkeeping software, Excel, and Word
- Able to maintain confidentiality
