Job Summary:

The Program Administrator is a key member of the School of Continuing Studies team at OCAD University. This role is responsible for providing front-line reception services, registration system operations, student advising, and general administrative support to the School.

Key Responsibilities:

  • Act as the first point of contact for the School of Continuing Studies office, responding to inquiries from students and resolving issues with registration and student services.
  • Update and maintain student records using Modern Campus, the SCS registration system.
  • Liaise with the Registrar's Office to verify student records and provide transcripts to students as required.
  • Update and maintain online courses, micro-credentials, and certificate information, and student portal documents in Modern Campus.
  • Coordinate partner registrations, prepare records of grades, and course completions for partners.
  • Oversee student software subscription services.
  • Provide course, micro-credential, and certificate advising to students.
  • Liaise with OCAD University IT Services and Modern Campus Technical Support to resolve registration system issues.
  • Coordinate class lists, student transfers, and data management.
  • Oversee student payments and refunds in coordination with the OCAD U Finance office.
  • Coordinate the verification of grades, and micro-credential and certificate completions.
  • Implement course/instructor evaluations, including tabulation and analysis.
  • Develop and maintain accurate automated and manual filing systems for financial records, course evaluations, student registration forms, and archives.
  • Contribute to the development of diversity, equity, inclusivity, and accessibility strategies throughout all programs, services, and communications.
  • Perform other duties as required, including assisting with instructor contracts, booking rooms, scheduling meetings, and scheduling instructor interviews.
  • Assist the Manager and the SCS team in related functions contributing to the successful operation of the School of Continuing Studies.

Qualifications:

  • Post-secondary degree or equivalent, with a minimum of 2 years administrative work experience.
  • Experience in a post-secondary and continuing educational environment required.
  • Experience working with members of equity-seeking groups and diverse audiences.
  • Visual art/design practice is considered an asset.
  • Prior experience working in customer service.
  • Working knowledge of Modern Campus, the SCS student registration system is considered an asset.
  • Strong computer skills with knowledge of Microsoft Office, Adobe Creative Suite applications.
  • Excellent interpersonal and communication skills.
  • Strong oral and written communication skills, with exceptional attention to detail, organizational skills, and ability to respond effectively to multiple and changing priorities.
  • Some flexibility in work hours may be required.
  • Demonstrated ability to take initiative and work both independently and collaboratively in a team environment.
  • Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff, and faculty.

Compensation and Benefits:

OPSEU Unit I, Appendix A, Grade A3; $27.56 - $35.76 per hour. Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to continue until May 30, 2025.
