Job Title: Field Administrator

Job Summary:

The Field Administrator is a key member of our Operations and Project Management team, providing administrative support to ensure the smooth operation of our field activities. This role requires a highly organized and energetic individual who can provide excellent customer service and work effectively under pressure.

Key Responsibilities:

  • Provide administrative support to the Operations and Project Management team, including meeting preparation, document management, and travel planning.
  • Provide knowledgeable and courteous customer service at reception, including greeting and directing visitors.
  • Answer, screen, and forward incoming calls, and maintain accurate records of interactions.
  • Administer and maintain Accounts Payable and Accounts Receivable, including submitting and tracking vendor invoices.
  • Process tickets, generate and track statements/invoices, and assist with data entry into our computerized system.
  • Ensure accurate and timely capture of field paperwork, including field tickets, and coordinate the flow of documents for approval and forwarding.
  • Perform general clerical duties, including photocopying, faxing, mailing, and filing.

Requirements:

  • Grade 12/GED
  • Administration or Accounting Certificate/Diploma (asset)
  • Minimum 2 years administrative/accounting experience
  • Excellent time management and organization skills, with ability to work effectively under pressure and meet deadlines.
  • Ability to adapt and interact within different working environments.
  • Solid ability and experience working in a team-based environment.
  • Excellent communication, interpersonal, and customer service skills.
