Job Summary
The Senior Project Coordinator will play a key role in supporting the Project Manager/Operations Manager in planning, executing, and finalizing projects according to deadlines and within budget. This role will coordinate with various teams, monitor project progress, and ensure that project objectives are met.
Key Responsibilities
- Assist in project planning, including developing project plans, tender documents, timelines, and budgets in collaboration with the Project Manager and other stakeholders.
- Coordinate tasks and resources, ensuring that team members have the necessary support to meet project objectives.
- Monitor project progress, regularly updating project schedules and ensuring that milestones are achieved on time.
- Document and report project progress, including status reports, meeting minutes, and tracking tools.
- Liaise with internal teams, vendors, and stakeholders, facilitating communication to keep everyone informed of progress and changes.
- Manage budgets and invoices, assisting in tracking project expenses and preparing reports on project costs.
- Ensure project deliverables meet quality standards by assisting in quality checks and reviewing team outputs.
- Identify potential risks or issues in projects and collaborate with the Project Manager to implement mitigation strategies.
Requirements
- 3 to 5 years of project coordinator or administration work experience with a community college diploma or equivalent training.
- Administrative, coordination, and organizational skills, along with related administrative and coordination work experience.
- Project coordination abilities, including proven experience in coordinating the end-to-end delivery of project sub-components.
- Technical and non-technical project delivery experience, including proven ability to deliver all kinds of projects.
- Cost estimation and project scheduling experience, including proven ability to prepare cost estimates and create project schedules.
- Vendor coordination experience, including proven ability to coordinate vendor work and ensure work completion.
- Effective communication and influencing skills.
- Computer proficiency, including experience with MS Office suite of applications and ability to quickly learn new applications.
Preferred Qualifications
- Project Management Professional (PMP) certification or similar.
- Experience in Facility Management field.
- Strong knowledge of Health & Safety and Environment related projects.
- Familiarity with budget management and reporting.
- Demonstrates an interest in pursuing Project Management Institute Accreditation.
