Job Description SummaryThis position provides administrative support to Dr. Daryl Wile, Clinical Investigator, Centre for Chronic Disease Prevention and Management. The role involves assistance with documentation for grant applications, Research Ethics Board (REB) and operational approval for projects, scheduling weekly meetings for Dr. Wile and research students, maintaining project timelines and task assignments to research team members.
Organizational StatusThe role pertains to support of Dr. Wile's position as Clinical Investigator, Centre for Chronic Disease Prevention and Management (CCDPM) at UBC Okanagan within the neurological disorders pillar. Dr. Wile's research activities take place both at the UBC Okanagan Reichwald Health Sciences building and the Okanagan Movement Disorder Clinic at Walter Anderson Building adjacent to Kelowna General Hospital.
Key Responsibilities- Schedules research-related meetings and blocks time for research activities in collaboration with clinic staff at the Okanagan Movement Disorder clinic.
- Liaises with the Office of Research Services regarding grant/funding applications and related correspondence.
- Assists with submission of project-related documentation, including entering components from a research protocol into an online REB submission in the RISe system and identifying gaps or errors in the submissions.
- Maintains project-related timelines/project breakdowns collaboratively with the research team and ensures forward action on project timelines during periods Dr. Wile has increased clinical workload.
- Assists in purchasing and invoicing related to research projects.
- Ensures there is an adequate supply of materials and resources required for research activities.
- Reviews financial paperwork for accuracy and maintains project financial records.
- Follows up with purchasing and vendor issues pertaining to research purchases.
- Maintains project data records collected by researcher and research team members and follows up on outstanding or missing data items.
- Creates and maintains the Standard Operating Procedures (SOP) and Records Management System for this position.
- Performs other related duties as necessary in keeping with the qualifications and requirements of the job.
- Liaises with CCDPM Research Support Coordinator regarding recruitment and appointment tasks associated with research support staff and students.
- High school graduation, some additional training in a related field. Undergraduate degree preferred.
- Minimum 2 years of related work experience in office administration or accounting, or an equivalent combination of education and experience.
- Ability to analyze and reconcile financial statements and maintain budgets.
- Ability to use the Microsoft suite office software, able to learn new software programs.
- Ability to communicate effectively verbally and in writing.
- Ability to exercise tact and discretion.
- Ability to work effectively independently and in a team environment.
- Knowledge of UBC, Southern Medical Program, and CCDPM policies and procedures is an asset.
- Familiarity with project management, including Gantt-style charts, is an asset.
- Experience working in a research environment in an academic and/or clinical setting is preferred.
- Willingness to respect diverse perspectives, including perspectives in conflict with one's own.
