The Research and Clinical Trials Coordinator is responsible for providing support in areas of human resources, payroll, grant and research administration. This role, on behalf of Principal Investigators (PIs) and leaders, monitors payroll and financial cost centres through to resolution of payroll issues. The Research and Clinical Trials Coordinator also provides administrative support including managing the grant application process and providing work direction to junior administrative staff in the team.

Key Responsibilities

  • Coordinate the preparation and submission of grant proposals in collaboration with Principal Investigators (PIs).
  • Interact with national and international universities and granting agencies to ensure the flow of information regarding grant-related matters.
  • Coordinate registration and travel arrangements for staff attendance at seminars and meetings, including completing registration, abstract submission, making travel and lodging reservations, and culminating expense reimbursements.
  • Manage human resource responsibilities, including recruitment of staff, coordinating interviews, and screening applications for review by hiring supervisors.
  • Ensure all hiring, appointment, and payroll processes are complete for employees, liaising with various PHSA units as necessary.
  • Act as the main contact for ordering lab and office supplies for the department and manage various requisitions, including travel, expense reimbursements, cheque requests, and honorariums.

Requirements

  • A level of education, training, and experience equivalent to a Diploma in a relevant area, such as business administration or finance.
  • Three (3) years' recent, related experience in a research environment and in project management.
  • Strong interpersonal and communication skills, with the ability to demonstrate good judgment, tact, and discretion.
  • Demonstrated time management skills and the ability to assist others in meeting deadlines.
  • Demonstrated ability to make sound decisions and resolve administrative issues/problems.
  • Detail orientation and the ability to complete accurate work in a timely manner.
  • Proficient in scientific and medical terminology.
  • Ability to work both independently and as a team leader to organize work and manage multiple priorities in a fast-paced environment.
  • Knowledge and experience in budget preparation, tracking expenditures, and identifying sources of variance.
  • Fully proficient in the use of a variety of software packages, including word processing, spreadsheets, and databases.
  • Demonstrate ability to evaluate personal work and existing systems and identify areas for improvement.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada, as per the Truth and Reconciliation Commission (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
  • Knowledge of social, economic, political, and historical realities impacting Indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports.

Salary Range: $57,347 - $75,268 per year. The starting salary for this position would be determined with consideration of the successful candidate's relevant education and experience and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part-time roles.
