The Events Engagement and Collaboration team plays a crucial role in nurturing an international culture of collaboration and trust by intentionally shaping the future workplace.
The Events Engagement Manager is tasked with delivering technical support and comprehensive event guidance to stakeholders, ensuring an exceptional delegate experience before, during, and after events. This role emphasizes innovative thinking and approaches to foster network culture in a virtual environment.
Please note that this is a global role – in a virtual working environment with the ability to travel internationally.
Main Responsibilities
Event Management and Support
- Oversee the complete delivery of virtual events, including presenting slides and videos, managing polls, and facilitating breakout discussion groups to ensure seamless execution.
- Manage the end-to-end delivery of in-person events, encompassing venue selection, event logistics, accommodation, food and beverage arrangements, evening events, supplier management, and on-site event support.
- Collaborate with stakeholders to ensure effective delivery and support for their meetings and work closely with their teams for each event.
- Assist with content delivery by proposing interactive ideas and managing these elements during the event.
- Handle communications by working with stakeholders to design and manage invitations, overseeing registration tracking and follow-up.
- Collect feedback post-event and present insights to the meeting/event owner as required.
- Coordinate rehearsals and brief speakers with prepared content as necessary.
General Responsibilities
- Develop and manage best practice guidelines and templates.
- Stay informed about technological advancements and keep stakeholders updated.
- Ensure the event master tracker is updated following each event.
- Maintain the intranet event site with new and revised information.
- Support project management and other projects as needed.
- Research industry events and provide recommendations to enhance client experiences.
Video Responsibilities
- Compile and create videos based on recorded content.
Person Specification
- Exceptional presentation and interpersonal skills.
- Outstanding time management and organizational abilities.
- Proficient spoken and written English is essential.
- Adept at identifying challenges and formulating improvement recommendations.
Essential Experience
- Extensive experience in event management, including logistics, operations, and vendor contracting.
- Demonstrated success in managing virtual events with a consistent record of meeting or exceeding objectives.
- Proven capability to handle multiple projects/events with various stakeholders under strict deadlines.
- Familiarity with conducting events via Microsoft Teams.
- Prior experience using event software or content management systems.
- Ability to collaborate effectively with stakeholders from diverse cultures across global time zones.
- Capacity to respond promptly and effectively in a high-pressure virtual setting.
- Ability to work independently as well as collaboratively within a team.
- Proven track record of building relationships at senior levels.
Desirable Experience
- Multi-lingual capabilities in addition to English.
