About the Role:

We are seeking a highly organized and detail-oriented Site Administrator to join our team at BrandSafway. As a key member of our operations team, you will be responsible for providing administrative support to our site supervisors and ensuring the smooth operation of our industrial site.

Key Responsibilities:

  • Collaborate with the team to prioritize daily tasks and meet deadlines related to payroll, tag management, and billing.
  • Compile and input large volumes of data, complete multiple checks and balances to confirm accuracy.
  • Payroll duties including verifying daily timesheets, time entry, balancing and reconciliation, processing new hires, and termination forms.
  • Balance hours with customers on a daily basis.
  • Update scaffold logs, productivity logs, and track equipment movements.
  • Create and update scaffold and insulation tags in databases.
  • Verify Purchase Orders and Work Orders.
  • Billing for multiple customers based on contract frequency and requirements.
  • Monitor billing status, track when invoices are uploaded, approved, and paid.
  • Create, maintain, enhance, and troubleshoot various Excel workbooks.
  • Respond to customer requests and inquiries.
  • Provide reports to supervisors/customers as required.
  • Provide support for all site supervisors.
  • Create and maintain accurate onsite electronic and paper files.
  • Provide all other general administrative and clerical support including filing, scanning, and copying.

Requirements:

  • Post-secondary education and/or 2 years of related experience.
  • Experience in an industrial setting is considered an asset.
  • Health & Safety training is considered an asset.
  • Advanced working knowledge of Microsoft Office including Excel and Word.
  • Excellent written and verbal communication skills.
  • High level of speed and accuracy with data entry.
  • Strong time management and organization skills to meet various competing deadlines.
  • Ability to interpret a variety of instructions (i.e. written, oral, diagram, or schedule form).
  • Ability to self-motivate.
  • Ability to work within a team and build a positive team environment.
  • Ability to adapt to a fast-paced, ever-changing work environment with competing demands.
  • Ability to display sound and accurate judgment, with the ability to resolve problems in a timely manner.
