Job Summary:

The Supply Chain Inventory Specialist is responsible for developing, implementing, and maintaining inventory management systems within a digital framework. This role involves establishing and adjusting reorder points and quantities, procuring various inventory items, conducting inventory assessments, managing supplier relationships, overseeing inventory levels, preparing necessary documentation, and maintaining an organized inventory catalog.

Duties and Responsibilities:

1. Develop and maintain inventory management systems using computerized tools to monitor and report on inventory levels and content.

2. Set and revise reorder points and quantities by analyzing data such as usage patterns, availability, costs, and storage needs to ensure optimal inventory levels.

3. Procure inventory items by selecting vendors, negotiating pricing and delivery schedules, and preparing purchase orders; manage transportation costs and negotiate terms with suppliers.

4. Conduct regular and surprise inventory audits, comparing physical counts to recorded levels, investigating discrepancies, and resolving issues as necessary.

5. Follow up on procurement activities, including monitoring delivery timelines, addressing shipping issues, reviewing credit notes, and expediting orders as needed.

6. Engage with suppliers to maintain a reliable supply chain; assess supplier performance and provide feedback as required.

7. Analyze inventory usage reports and collaborate with departments to align inventory levels with operational needs.

8. Prepare and maintain accurate records and reports, compiling statistical data for tender preparations.

9. Respond to inquiries regarding purchase orders and provide necessary information as required.

10. Establish and maintain an organized inventory catalog by documenting item descriptions and assigning stock identifiers.

11. Ensure inventory items are properly labeled and organized, removing outdated items and adding new stock as necessary.

12. Perform additional related duties as assigned.


Qualifications:
Education, Training, and Experience:
  • Completion of grade twelve (12), supplemented by recognized purchasing courses, along with five (5) years of relevant experience or an equivalent combination of education and experience.
Skills and Abilities:
  • Effective verbal and written communication skills.
  • Strong interpersonal skills for effective collaboration.
  • Excellent organizational abilities.
  • Proficient in operating relevant equipment.
  • Physical capability to perform the duties of the position.
