Project Management Specialist

POSITION SUMMARY
Under the direction of the Project Manager, the Project Management Specialist plays a crucial role in managing and monitoring supply chain initiatives from inception to completion. This individual will document newly identified opportunities, guide each project through the Change Request (CR) process until finalization, and ensure that timelines and expenditures adhere to the predetermined schedule and budget. The Project Management Specialist will establish and uphold systems for tracking project advancement, keeping essential stakeholders updated through consistent reporting and communication.
RESPONSIBILITIES
- Coordinate tactical efforts across various functions in the planning, execution, and monitoring of project activities.
- Collaborate cross-functionally with key stakeholders, both internal and external, advocating for action items to ensure projects achieve their time, cost, and quality targets.
- Develop and maintain a system to track progress, proactively identify risks, and communicate/escalate issues as necessary.
- Draft Statements of Work (SOWs)/quotes, milestone plans, scheduling, and cost forecasts, while maintaining comprehensive project documentation.
- Facilitate meetings, keep relevant documentation, and provide administrative support to Leadership as needed.
- Work closely with and serve as a backup to the Project Manager.
QUALIFICATIONS
- Bachelor's degree or equivalent education/experience.
- 2-5 years of practical project experience, preferably in a warehousing or logistics context.
- Project Management Professional (PMP) Certification or Green Belt certification (or in progress) is advantageous.
- Familiarity with ERP/WMS/TMS software.
- Experience in operational problem modeling, process flow charting, and value stream mapping.
- Proficient in Microsoft Office Suite, especially MS Project and Excel.
- Proven ability to create project plans, reporting dashboards, and documentation.
- Demonstrated capability to facilitate meetings and working sessions, effectively communicating with stakeholders at all levels.
- Ability to manage multiple priorities efficiently.
- Exceptional written and verbal communication skills, along with strong presentation abilities.
- Highly organized and dedicated to meeting deadlines and deliverables.
- Strong interpersonal skills, with a willingness and adaptability to work collaboratively across functions.
- Ability to clarify ambiguous situations effectively.
- Politically astute.
