Reporting to the Finance Manager, the Logistics Coordinator will oversee all tasks associated with the shipping, receiving, and distribution of products.

This role is crucial for expediting orders, addressing complaints, and resolving discrepancies related to purchased materials, supplies, and services.

Effective relationship management is essential as this position will contribute to maintaining positive public relations with delivery services and all staff members.

Additionally, the Logistics Coordinator will be responsible for ordering and managing inventory of all facility supplies.

Qualifications

  • Post-secondary education, a certificate in distribution and transportation techniques, or a comparable equivalent, along with a minimum of 2 years of relevant experience.
  • Ability to remain seated and standing for extended periods, in addition to lifting boxes weighing up to 50lbs regularly.
  • Given the role serves 'internal clients', it is vital that the coordinator possesses above-average customer service skills, ensuring that requests are managed professionally and that superior service is delivered at every interaction.
  • Strong organizational, interpersonal, analytical, and communication skills.
  • Ability to engage with employees and vendors in a professional manner.
  • Capacity to work independently and collaboratively in a fast-paced, high-volume environment with a focus on accuracy and timeliness.
  • Proficient in computer software applications, including Microsoft Excel, Word, Publisher, and Oracle.
  • Excellent communication abilities.
  • Capability to work in a physically demanding environment.
  • Ability to thrive in a team-oriented setting.
  • Competence in meeting deadlines.
  • Bilingualism is an asset.

Responsibilities

  • (75%)

Shipping and Receiving Operations:

Manage the receipt and shipment of goods for the organization; complete courier and international documentation; distribute shipment items to the appropriate departments; and finalize all necessary paperwork.

Ensure that goods and services match purchase orders. Process the receipt of all goods and services in the finance system. Collaborate with accounts payable to guarantee timely vendor payments. Work with management to secure funds for purchase requisitions as needed. Facilitate the onboarding of new supply vendors.

Scheduling Duties:

Collaborate with vendors to arrange dumpster pickups; schedule the replacement of urinal cartridges for facilities; and organize Blood Drives in partnership with Canadian Blood Services.

Provide coverage for security officers during breaks when additional security is necessary due to health protocols.

Inventory Oversight:

Conduct and maintain monthly inventory checks of storage items in facilities, manage quotes and procure inventory and supplies for track, maintenance, and administration; upgrade outdated facilities equipment; oversee keys and locks for outdoor storage and employee lockers; and manage asset tags for the organization.

Vendor Relations:

Engage with vendors daily through various communication channels; welcome all delivery services arriving at the site; collaborate with suppliers to manage quotes and product information; and communicate with establishment representatives to resolve shipment or product issues such as damages, shortages, and nonconformance to specifications.

Health and Safety Management:
Oversee the management of MSDS and WHMIS compliance in the organization.
