We are currently looking for a meticulous and proactive Payroll Specialist to enhance our finance team in Montreal, ensuring the accuracy and timeliness of payroll operations.

Role Overview

The Payroll Specialist will oversee the payroll processing for all personnel, ensuring adherence to organizational policies and North American regulations. This position demands a comprehensive understanding of payroll systems, exceptional organizational abilities, and the capacity to manage sensitive information with the utmost confidentiality.

Key Responsibilities
  • Process bi-weekly payroll for all employees across Canada and the US, including salaried, hourly, and contractor payments.
  • Collect, monitor, and audit timesheets for discrepancies and errors.
  • Stay informed about payroll regulations to ensure compliance with labor laws, tax requirements, and company policies.
  • Maintain and update employee payroll records, including adjustments in pay rates, benefits, and other compensation details.
  • Prepare and submit payroll tax filings, including quarterly and annual reports, and manage withholdings to ensure timely payment of taxes.
  • Handle benefits enrollments and deductions, including health insurance and retirement plans.
  • Conduct regular reconciliations of payroll accounts and resolve any discrepancies. Prepare and review payroll reports for accuracy.
  • Address employee inquiries regarding payroll, benefits, and deductions, providing clear and timely assistance.
  • Maintain and update payroll software and systems, collaborating with HR and ADP representatives to ensure system integrity.
Qualifications
  • At least 5 years of experience in payroll processing or a related field. Familiarity with ADP Workforce Now is advantageous.
  • Strong knowledge of payroll procedures, tax laws, and employment regulations.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Effective communication and problem-solving abilities.
  • Capability to handle confidential information with discretion.
  • Experience with ERP systems.
  • Knowledge of project-based industries is a plus.
  • Able to thrive in a fast-paced, multi-project production environment.
  • Ability to collaborate effectively with diverse team members.
  • CPP (Certified Payroll Professional) or similar certification is preferred.
