Position Overview:
We are currently seeking a proficient bilingual legal assistant to support our litigation team in the Montréal office. This role involves collaborating closely with our lawyers to manage their litigation practices and execute various tasks at both legal and administrative levels.
Key Responsibilities:
- Prepare, organize, and assemble litigation and court documents, including affidavits, notices, motion records, factums, and books of authority, ensuring proper notification.
- Coordinate with bailiffs and the Court for the service and filing of court documents.
- Engage with court clerks for trial and motion bookings and related filings.
- Draft, edit, and finalize correspondence and documents based on handwritten notes, dictated instructions, and established precedents, including memos, letters, emails, reports, presentations, proposals, budgets, and court documents.
- Ensure accuracy and completeness in all written materials, maintaining impeccable formatting, spelling, and grammar in both English and French.
- Act as a liaison between lawyers and various internal and external stakeholders regarding case progress and practice-related issues.
- Assist in the administrative management of the firm, including file management, meeting organization, calendar setting, and travel arrangements.
- Oversee the organization of physical and digital files, ensuring thorough administrative follow-ups from initiation to archiving.
- Develop and maintain a comprehensive document filing system using iManage.
- Manage the billing process, providing support for time entries, billing coordination, expense processing, and invoice payments in line with the firm's accounting policies.
- Prepare requests for cheques and manage trust account transactions, along with expense reports.
- Monitor deadlines and timelines for various matters.
- Handle communications, including filtering and responding to emails, calls, and faxes, while managing both paper and electronic document filing.
- Maintain the agenda of the assigned lawyer and undertake additional office tasks and special projects as needed.
Qualifications:
- Proficient in both English and French, with the ability to interact effectively with clients and colleagues across Canada.
- Five to seven years of experience as a legal assistant, preferably in a large national law firm, specializing in complex litigation.
- Strong understanding of civil procedure rules and judicial practices.
- Technical diploma in legal assistance or a college diploma in office administration, or equivalent experience.
- Proficient in MS Office, Adobe Pro, digital dictation, and other legal technologies.
- Familiarity with billing technologies like Aderant and a solid understanding of the billing cycle.
- Exceptional attention to detail and ability to manage multiple tasks efficiently.
- Excellent organizational skills, self-motivation, and capability to work under pressure.
- Professionalism, confidentiality, and a customer service-oriented approach.
- Ability to work collaboratively in a dynamic environment and demonstrate autonomy in resolving administrative challenges.
- Willingness to occasionally work overtime.
