Student Information Systems Functional Analyst

The Functional Analyst for Student Information Systems will play a key role in the operational design and maintenance of student information systems and program implementation at Saskatchewan Polytechnic. This position will be responsible for ensuring the functional requirements of all areas within the institution are met by the student information systems.
Key Responsibilities- Student Data Integrity and Consistency
- Act as the organizational expert for understanding and interpreting student data and processes within student information systems.
- Provide expertise to Student Services, Program Development Consultants, and Academic Program areas on student data, policy, procedures, technological solutions, and program planning related to student information systems.
- Work as a technical and business expert within project lifecycles for concurrent Enrolment Services and Saskatchewan Polytechnic projects.
- Support the Senior Functional Analyst with program implementation and revisions at Quality Assurance Working Group meetings.
- Work closely with Student Services, ITS, and SIS Team Lead and Senior Analysts to ensure correct functional procedures and system setup and integration align with standardized organizational data definitions.
- Ensure the appropriate release of student information under The Local Authorities Freedom of Information and Protection of Privacy Act.
- Functional Design and Implementation
- Act as the organizational contact for internal and external stakeholders for design, setup, and maintenance of student-related processes within all student information systems.
- Responsible for determining and communicating specific data requirements and business processes to ensure accurate functionality.
- Responsible for the accurate and timely implementation of all academic program implementations and revisions within both the ERP and CRM environments.
- Responsible for complete end-to-end testing of all major and minor student information system upgrades.
- Work closely with cross-functional teams to identify and solve complex business problems using the capabilities within the student information systems.
- Troubleshoot and provide support to all areas of Saskatchewan Polytechnic regarding any issues or questions with regards to student data.
- Monitor adherence to standardized data definitions, consistent data entry standards, and policies.
- Operational Setup, Maintenance, and Support
- Act as the first point of contact and main support for all student data and process inquiries for Student and Enrolment Services.
- Perform on-going maintenance of the electronic data transfer (EDI) from Saskatchewan Learning by reviewing and resolving the daily error reports.
- Perform on-going maintenance of the web application load process and resolve applications that fail to load to the student ERP.
- Work with applicants and students who experience problems with self-service functions, including electronic payments.
- Act as institutional contact for investigating and resolving production process-related problems and issues, involving ITS and other stakeholders as necessary.
- Provide on-going support to Enrolment Services management, staff, and other Banner Student users regarding the use and understanding of student data.
- Provide functional support to program areas for faculty self-service products.
- Provide support and respond to questions from potential/existing students and the general public.
- Design, maintain, and present training materials for Enrolment Services staff around changes to data entry procedures and standards.
- Provide functional training for new ERP Student users (staff and faculty) in other programs and services areas upon request.
- Communicate changes in procedures to stakeholders.
- Create and distribute communication to staff and students.
- Maintain knowledge of current and emerging student system technologies, upgrades, and changes.
- Other duties as assigned.
- Diploma in Information Technology, Applied Computing, or related discipline, or equivalent combination of education, training, and experience.
- Five years of experience in functional system design, customer needs assessment, developing and delivering architectural models and designs for complex technology projects (specifically Information Technology, Business Intelligence, or Business Analytics).
- Intermediate database application training and experience, including sound knowledge of database application structure and development. As well as knowledge and experience with SharePoint, reporting tools, and presentation software.
- Effective analytical, problem-solving, and decision-making skills to conduct detailed analysis and investigations to determine the course of action. High attention to detail and ability to recognize, comprehend, analyze, and solve complex issues.
- Planning, organizational, and prioritizing skills (short and long term) to effectively and efficiently manage time, complete tasks, and meet deadlines with minimal supervision.
- Maintain high concentration, attention to detail, and accuracy in a high-pressure, fast-paced environment with continuous distractions; and to manage workplace stress effectively.
- Build consensus on complex issues with no clear solution and negotiate/compromise to achieve mutual objectives.
- Strong interpersonal and communication skills – superior written and oral communication skills to interpret, explain, summarize, document, and present effective information and training to a diverse audience.
