We are seeking a highly organized and motivated individual to join our team as an Office and Client Services Coordinator. This hybrid role combines in-office client care in our Whitby location with virtual administrative tasks, offering the perfect mix of professional development and flexibility.
Key Responsibilities:- Client Care & Intake Management: Monitor intake emails, manage client queries, and assist with onboarding new clients.
- Scheduling & Payment Oversight: Ensure client appointments are booked, payments are processed, and all forms are completed for new clients.
- Social Media & Marketing Support: Create engaging social media posts on Canva 1-2 times per week.
- Referral & Retention Reports: Track therapist bookings, no-shows, and client retention rates, and report to the clinic owners.
- Screening & Onboarding: Assist with screening and onboarding new therapist candidates.
- Follow-up & Feedback: Call clients after their first session to check in and schedule follow-up sessions.
- Client/Referral Outreach: Engage with top referral sources and maintain positive relationships with key contacts.
- Completed or currently pursuing an undergraduate degree in psychology, social work, or a related field.
- Strong communication and organizational skills.
- Comfortable working both in-office (Whitby) and remotely (virtual evening/weekend shifts).
- Proficient in using scheduling and CRM tools like Jane, email, and social media platforms.
- Enthusiastic about working in a dynamic mental health environment.
