Role Overview:

The Portfolio Administrator plays a crucial role in assisting Relationship Managers with the management of client portfolios by delivering exceptional client service and facilitating business development initiatives. This position is primarily focused on client support, enabling Relationship Managers to concentrate on strategic client engagements.

Furthermore, the Portfolio Administrator will contribute to the achievement of operational excellence goals by continuously reviewing and enhancing processes and practices.

The individual in this role will be aware of the Bank's risk appetite and culture, ensuring compliance with all regulations, internal policies, and procedures in daily operations.

Key Responsibilities:

Client Service Excellence

  • Deep understanding of the Private Investment Counsel value proposition to ensure a consistent and high-quality client experience.
  • Act as the primary contact for clients on behalf of the assigned Relationship Manager.
  • Respond promptly and professionally to client inquiries, including cash management requests.
  • Escalate issues to Relationship Managers or Governance & Operations Managers as necessary.
  • Prepare routine and customized client correspondence and reports.
  • Support the implementation of client wealth strategies through meticulous management of portfolio administration tasks.
  • Oversee the account opening process with efficiency and accuracy.
  • Coordinate the comprehensive client onboarding process, focusing on operational and administrative tasks.
  • Prepare for client annual reviews and maintain accurate client records.
  • Review and suggest improvements to enhance the client experience and operational efficiencies.
  • Follow up with clients regarding any missing or incomplete documentation.
  • Utilize knowledge of the Bank's diverse products and services to meet client needs effectively.
  • Collaborate with internal partners to ensure comprehensive client service.
  • Actively seek client feedback to identify service improvement opportunities.
  • Maintain the Client Contact database with accurate records of interactions.
  • Address client and Senior Management inquiries promptly.
  • Resolve client issues efficiently, escalating when necessary.
  • Proactively identify and implement strategies to meet client needs.

Support for Relationship Managers

  • Prepare and customize client reports as needed.
  • Collaborate with Trust Officers to ensure proper application of investment strategies.
  • Assist Relationship Managers in executing business planning activities.
  • Provide portfolio administration support for Estate & Trust portfolios.
  • Maintain ongoing communication to understand each client's financial needs and objectives.
  • Stay informed about changes in client circumstances or market conditions that may impact financial goals.
  • Ensure accurate management of client information through relevant systems.
  • Exhibit strong organizational skills and attention to detail to support the team effectively.

Business Development Initiatives

  • Coordinate prospecting and business development efforts for Relationship Managers.
  • Support marketing strategies aimed at attracting and retaining clients.
  • Facilitate interactions between clients and Relationship Managers or other partners.
  • Engage with internal referral sources to ensure timely communication and resolution of client needs.
  • Prepare materials for business development meetings and follow up on action items.
  • Identify referral opportunities to various Scotia Wealth partners.

Risk Management and Compliance

  • Minimize risk exposure by adhering to all regulatory guidelines and internal procedures.
  • Assist Relationship Managers in maintaining client portfolios in line with established strategies.
  • Participate in compliance efforts and identify necessary policy changes.
  • Ensure adherence to standards and practices to meet regulatory requirements.
  • Document and report any unusual occurrences or suspicious activities as per established protocols.

Team Collaboration

  • Contribute to the effective functioning of the Private Investment Counsel team.
  • Foster a positive team environment that encourages engagement and innovation.
  • Build strong working relationships across teams and with stakeholders.
  • Maintain a high level of client service and open communication.
  • Participate actively in team meetings and coaching sessions.
  • Encourage the generation of new ideas and share knowledge to enhance team development.
  • Develop and implement a meaningful employee development plan.

Qualifications:

  • University Degree in Business, Economics, Accounting, or Finance, or equivalent.
  • Industry experience and knowledge of investment management is an asset.
  • Minimum of two years of relevant experience.
  • Strong relationship management and interpersonal skills.
  • Proficient in supporting sales and business development activities.
  • Results-oriented with a self-motivated approach.
  • Integrity and professionalism in all interactions.
  • Familiarity with financial planning processes.
  • Comprehensive knowledge of Scotia Wealth & PIC offerings to identify opportunities.
  • Understanding of products and services offered by Scotiabank partners.
