Cain Lamarre LLP, a leading law firm in Quebec, is seeking a highly organized and detail-oriented Corporate Lawyer Assistant to join its Corporate Services department. The successful candidate will provide administrative support to the paralegals in the department, ensuring the smooth operation of corporate law procedures.
Key Responsibilities- Manage the opening, closing, and billing of corporate law files, as well as the organization and tracking of related procedures.
- Prepare and submit documents, such as annual reports and declarations, to relevant authorities, and ensure timely follow-up with paralegals.
- Assist paralegals in preparing resolutions and updating corporate records, and ensure accurate tracking of deadlines.
- Support paralegals in drafting corporate documents, including certificates of shares, and assist with the preparation of agendas for corporate meetings.
- Update and maintain departmental databases and lists.
- Provide administrative support to lawyers and clients, obtaining necessary information and documents.
- Request and obtain certificates of attestation and conformity, and order copies of documents from government authorities.
- Organize documentation for signing, including electronic signatures.
- Prepare and maintain physical and virtual minute books, as well as closing books.
- Continuously update and maintain minute books (physical and virtual) for companies and maintain a record of minute books.
- Receive and classify corporate services correspondence, including any necessary digitization.
- Support lawyers during vacations or absences.
- Perform other related tasks.
- D.E.P. in Secretariat with a legal attestation, D.E.C. in Office Techniques or Legal Techniques, or relevant education and/or experience.
- Experience as a corporate law assistant is an asset.
- Excellent proficiency in French and English, both written and spoken.
- Strong knowledge of Microsoft Office (Word, Excel, Outlook, Teams) and Kofax or Acrobat Professional, as well as familiarity with EnAct or other corporate software.
- Ability to work virtually for various offices.
- Strong organizational skills and ability to prioritize tasks.
- Ability to work in a team and foster a positive work environment.
- Resourcefulness, attention to detail, autonomy, and adaptability.
