The Smartsheet Operations Administrator plays a crucial role in the Mechanical Department, focusing on the development and management of a comprehensive Smartsheet tracking system for pressure equipment inspections.
Key Responsibilities:
- Design, implement, and maintain a robust Smartsheet platform for tracking Pressure Safety Valves (PSVs), Exchangers, Control Valves, and Instrumentation.
- Conduct preliminary data loading and ensure data accuracy through reconciliation processes.
- Create and maintain dashboards and reports to provide management with insights into inspection statuses, trends, and compliance metrics.
- Develop user training materials, including manuals, guides, and tutorial videos, to facilitate user engagement with the Smartsheet application.
- Lead training sessions for both new and existing users to enhance their proficiency in utilizing the tracking system.
- Offer ongoing support to users, addressing inquiries, resolving issues, and implementing enhancement requests.
- Collaborate with internal stakeholders to gather requirements and integrate feedback into the Smartsheet platform.
- Provide regular updates to stakeholders regarding the performance and status of the tracking system.
- Work closely with IT and other departments to troubleshoot technical issues and integrate new functionalities.
- Support various departments, including Turnover, Cleaning, Pressure Integrity, and Scheduling.
- Act as a liaison between personnel, contractors, and third-party vendors.
- Manage tablet devices and provide necessary support.
- Oversee deliverable receipt and maintain database updates.
- Generate travel sheets for documentation retention.
- Facilitate report distribution.
Qualifications:
- Registered with APEGA.
- Proficient in MS Office Suite (Outlook, Word, Excel).
- Strong communication and multitasking skills, with the ability to adapt to shifting priorities and meet deadlines.
- Experience in leading, training, and coaching team members.
- Ability to thrive in a fast-paced environment and willingness to work overtime as needed.
