The Smartsheet Administrator will play a crucial role in the Mechanical Department at Rally Engineering, reporting directly to the Mechanical Department Manager at the Rally Head Office. This 16-month contract (with possibility of extension) is based on-site in Redwater, Alberta, for a turnaround project.
Key Responsibilities:- Develop, maintain, and troubleshoot a comprehensive Smartsheet tracking system for inspecting pressure equipment.
- Create a platform for tracking PSV's, Exchangers, Control Valves, and Instrumentation.
- Perform preliminary data loading and data reconciliation.
- Maintain dashboards and reports for management to monitor inspection status, trends, and compliance.
- Develop training materials, including user manuals, guides, and tutorial videos, to assist users in navigating the Smartsheet application.
- Conduct training sessions for new and existing users to ensure they are proficient in using the tracking system.
- Provide ongoing support to users, addressing queries, issues, or enhancement requests.
- Liaise with internal stakeholders to understand their needs and incorporate feedback into Smartsheet.
- Provide regular updates to stakeholders on the status and performance of the tracking system.
- Coordinate with IT and other departments to resolve any technical issues or integrate new features.
- Support Turnover, Cleaning, Pressure Integrity, and Scheduling departments.
- Act as a hub between personnel, contractors, and third-party specialty vendors.
- Manage tablet support and deliverable receipt and database updates.
- Generate completed travel sheets for turnover document retention and report distribution.
- Registered with APEGA
- Expertise with MS Office (Outlook, Word, Excel)
- Soft skills – such as communication, multi-tasking, shifting priorities, meeting deadlines, leading, training, coaching, organizing, customer services, teamwork, collaboration, etc.
- Ability to work in a fast-paced environment and willingness to work overtime as required.
