Position Summary:
Under the guidance of the Payroll Manager, the Payroll Specialist plays a crucial role in documenting current and new payroll processes, pinpointing areas for improvement, and executing regular and special reporting for various stakeholders, including internal teams and regulatory bodies.
This position involves close collaboration with the Payroll Coordinator to ensure the accurate processing of payroll for Diabetes Canada and its associated entities. The Payroll Specialist will also work in partnership with the Human Resources departments to address payroll-related inquiries from staff promptly. Additionally, this role will serve as a backup for the Payroll Manager, overseeing payroll commitments and managing escalations and validations. Throughout all tasks, the Payroll Specialist will ensure adherence to payroll policies and procedures, recommending updates as necessary.
Work Environment:
This role supports a flexible work arrangement, allowing for a hybrid schedule that combines remote work with in-office responsibilities.
Key Responsibilities:
- Document all payroll processes, including weekly operations, change management, and reporting, ensuring compliance with organizational and legislative standards. Propose enhancements for compliance and efficiency, and develop implementation plans for approved changes.
- Generate reports utilizing Dayforce and Excel to monitor payroll compliance, support third-party reporting, and fulfill requests from various stakeholders.
- Oversee the accurate maintenance of monthly Union reporting.
- Serve as the primary resource for interpreting Collective Agreements.
- Ensure accurate payroll entries for benefits and retirement programs, based on employee selections and contractual agreements.
- Process scheduled payments to regulatory and benefits agencies, including bi-weekly, monthly, and annual payments.
- Manage year-end reporting, including tax statement distribution and reconciliation of statutory withholdings.
- Act as the main liaison with HR departments regarding benefits and retirement matters, ensuring compliance with organizational procedures.
- Collaborate with Finance departments to provide Payroll GL reports and assist in reconciling payroll and benefits clearing accounts.
- Support statutory and regulatory audit requests as needed.
- Provide backup for the bi-weekly payroll preparation and processing for both salaried and hourly employees, ensuring timely and accurate completion.
- Review HR-initiated transactions during payroll processing to ensure accuracy and compliance with established policies.
- Maintain a thorough understanding of relevant legislation and government regulations affecting payroll.
Qualifications:
- Post-secondary education in a related field.
- Completion of National Payroll Institute PCP certification and progress towards Certified Payroll Manager (CPM) designation.
- A minimum of 5 years of payroll experience.
- Strong knowledge of Canadian payroll legislation.
- Experience interpreting Collective Agreements.
- Intermediate proficiency in Dayforce is essential.
- Proficient in MS Excel, Word, Outlook, and Teams.
