Position Overview:

This is a Full-Time Support Staff Position within the Enrolment Services Department, requiring 35 hours of work per week, Monday to Friday.

Key Responsibilities:

The Enrolment Services Representative (ESR) serves as the initial point of contact for various client groups through multiple service channels, including in-person, phone, email, and LiveChat. The ESR is responsible for assessing and addressing student needs, determining the appropriate course of action for clients.

Responsibilities include:

  • Handling inquiries, managing registrations, processing payments, and updating student records.
  • Verifying student enrolment, grades, and records, as well as distributing and validating documents.
  • Scanning and indexing completed paperwork for permanent student records.
  • Administering and communicating college policies and procedures effectively.
  • Assisting the Office of the Registrar during non-peak periods with various administrative tasks.
Client Interaction:

Provide information and facilitate student needs by:

  • Assessing and identifying student requirements.
  • Delivering timely and accurate information in a professional manner.
  • Advising students on college policies and procedures.
  • Maintaining knowledge of academic programs, financial aid, and support services.
Administrative Duties:

Perform administrative tasks including:

  • Processing registration documentation, fee payments, and course changes.
  • Verifying and updating student records as necessary.
  • Making appropriate referrals to other departments as needed.
Payment Processing:

Manage payment transactions by:

  • Applying various payment methods to student accounts.
  • Reconciling daily financial reports.
Reception Responsibilities:

Conduct front-line reception duties such as:

  • Welcoming clients with exceptional customer service.
  • Directing clients to appropriate services based on their needs.
Representation:

Act as a representative of the Office of the Registrar by:

  • Participating in meetings to enhance communication and understanding across departments.
Qualifications:
  1. A minimum of a two-year diploma in Business Administration, Communications, or a related field.
  2. At least three years of experience in a high-volume customer service environment.
  3. Experience in an educational setting with a computerized student information system is preferred.
  4. Proficiency in MS Office Suite and familiarity with student management software.
  5. Strong organizational, time management, and problem-solving skills.
  6. Excellent written and verbal communication abilities.
  7. Ability to work independently and collaboratively within a team.
