Job Description:

Job Summary:

The Executive Assistant is a key administrative resource for the Executive and Management Team at CB Canada, providing critical support to ensure the smooth operation of the organization. This role requires a highly organized and detail-oriented individual with excellent communication and interpersonal skills.

Key Responsibilities:

  • Provide administrative support to the Executive and Management Team, including generating and updating reports, compiling and distributing files, and assisting with project coordination.
  • Manage email correspondence and calendars for management and executive levels, acting as a gatekeeper for internal and external contacts and responding to meeting requests and appointments.
  • Coordinate meetings and events, including meeting logistics, travel arrangements, and scheduling participants.
  • Provide support for various projects and strategic initiatives, including coordinating logistics for executive and team activities, workshops, and conferences.
  • Assist with annual budgeting process and process invoices for payment.
  • Assist with onboarding of new hires, including technology, software, and hardware setup.

  • Strong organizational skills and attention to detail.
  • Ability to multi-task and prioritize tasks effectively.
  • Demonstrate integrity and trust by handling sensitive materials and maintaining confidentiality.
  • Excellent communication and interpersonal skills, with the ability to build positive working relationships with internal and external stakeholders.
  • Ability to work independently and take initiative to find solutions to problems with minimal supervision.
  • Ability to identify and effectively summarize pertinent information and decisions arising from meetings.

Qualifications:

  • Experience in a related Executive Assistant role from a large complex organization.
  • Diploma in Business, Administration, or a combination of education and experience.
  • Strong knowledge of Microsoft Outlook and Microsoft Office.
  • High-level knowledge of programs, policies, and objectives.
  • Ability to understand reporting and compile, analyze, summarize, and present relevant information using Excel, PowerPoint, or other required software.
