Position Overview

As a key member of the Redevelopment Office Team at Halton Healthcare, the Equipment and Asset Management Specialist will play a crucial role in overseeing a variety of planning initiatives and projects. This position focuses on the strategic selection, acquisition, and redistribution of equipment and furnishings to support the Georgetown Hospital Redevelopment Project, the execution of the corporate Master Plan, and the ongoing operational requirements across all Halton Healthcare facilities.

Key Responsibilities:

  • Collaborate with essential stakeholder groups, including Biomedical Engineering, Finance, and Quality and Risk Management, to develop and uphold a cohesive management strategy for effectively overseeing equipment and furniture assets.
  • Maintain a comprehensive information system to facilitate informed decision-making regarding equipment procurement, service contracts, preventative maintenance, lifecycle replacement, and warranty claims.
  • Ensure the asset database is current by managing an updated inventory of furniture and equipment, tracking new acquisitions, site transfers, and surplus disposals.
  • Coordinate asset transfers between sites in alignment with established policies, while maintaining a holistic view of furniture and equipment assets.
  • Monitor and enhance the data quality within Halton Healthcare's Asset Management System.
  • Assist in the formulation of asset management policies and procedures.
  • Generate and distribute reports to management, highlighting relevant asset information.
  • Maintain accurate records and provide updates on the status of ongoing activities.
  • Engage in the Equipment & Asset Management Sub-Committee and other internal/external committees as required.
  • Facilitate communication among end-users, consultants, and construction teams to ensure alignment with client and hospital objectives throughout the equipment planning process.
  • Support the standardization of equipment and processes across all sites, adhering to established policies.
  • Work collaboratively with the Redevelopment & Facilities team to ensure all asset management activities are meticulously planned and executed to meet required standards.
  • Align expectations between Halton Healthcare and procurement agencies or vendors.
  • Participate in the evaluation of furniture and equipment, ensuring active involvement from users and physicians.
  • Support the planning, procurement, and installation of Furniture, Fixtures, and Equipment for all Halton Healthcare Capital Projects.
  • Contribute to the annual capital request and approval process.
  • Provide analytical reports to assist in forecasting capital needs and replacement strategies.
  • Participate in various hospital equipment planning committees, prioritizing tasks effectively.
  • Coordinate site visits and user group meetings to address gaps or issues requiring attention.
  • Ensure all documentation related to Furniture, Fixtures, and Equipment for capital projects is meticulously maintained in accordance with Halton Healthcare policies.
  • Develop and maintain reporting and tracking tools and techniques.
  • Create correspondence, reports, and presentations suitable for diverse internal and external stakeholders.
  • Perform general administrative duties related to contract management and external consultants.
  • Contribute to the preparation of internal and external reports.

Qualifications:

  • Undergraduate Degree in Health/Life Sciences, Engineering, or Business Administration, or a recognized equivalent.
  • A minimum of 2 years of relevant experience in a hospital setting.
  • Familiarity with CMMS or other database/asset management systems is preferred.
  • Proficient in Microsoft Office applications.
  • Experience in large project redevelopment within the last five years is preferred.
  • Ability to interpret specifications, equipment cut sheets, and architectural, mechanical, and electrical drawings.
  • Experience in drafting reports, specifications, and RFPs.
  • Exceptional customer service and communication skills, both written and verbal.
  • Self-motivated with the ability to work independently.
  • Strong planning and organizational skills.
  • Efficient multitasking abilities in a fast-paced environment.
  • Experience in reviewing specifications and contracts critically.
  • Strong problem assessment and resolution skills.
  • Able to work collaboratively within a team environment.

Additional Information:

This position requires travel across multiple healthcare sites, and candidates must possess their own vehicle.
