Job Summary

The University Health Network is seeking a highly organized and detail-oriented Program Assistant to join our team at the Toronto Rehabilitation Institute. As a key member of our administrative team, you will provide exceptional support to our program staff and patients, ensuring seamless day-to-day operations and contributing to the delivery of high-quality patient care.

Key Responsibilities

  • Provide administrative support to program staff, including reception duties, responding to inquiries, and coordinating patient appointments
  • Manage office supplies, maintain accurate filing systems, and ensure confidentiality of patient information
  • Compile and enter program service statistics and data, and prepare reports as required
  • Coordinate room bookings, conference requests, and catering, and provide administrative support to managers as needed
  • Provide coverage and assistance to other program administrative positions as required
  • Understand and comply with patient safety responsibilities and hospital policies and procedures

Requirements

  • Community College diploma with recognized Office Management Certificate or equivalent
  • Minimum of two years relevant experience, preferably in a healthcare setting
  • Excellent computer skills, including MS Word, Excel, PowerPoint, and Outlook
  • Strong customer service orientation, excellent verbal and written communication skills, and ability to work independently and in a team environment
  • Ability to maintain confidentiality, work well under pressure, and prioritize tasks effectively
