Job Summary

The University Health Network is seeking a highly organized and detail-oriented Inpatient Program Assistant to join our team. As a key member of our inpatient services department, you will play a vital role in ensuring the smooth operation of our programs and services.

Key Responsibilities

  • Provide administrative support to the inpatient services team, including reception duties, responding to inquiries, and maintaining accurate records.
  • Perform a variety of administrative tasks, such as typing, filing, photocopying, faxing, and ordering office supplies.
  • Ensure admission, discharge, and transfer information is accurately input into the ADT system.
  • File patient information and maintain confidentiality.
  • Coordinate patient appointments and maintain accurate records.
  • Compile and enter program service statistics and data.
  • Maintain an accurate and confidential filing system.
  • Prepare reports, including letters, memos, agendas, and meeting minutes.
  • Provide administrative support to managers as needed.

Requirements

  • Community College diploma with recognized Office Management Certificate or equivalent.
  • Minimum of two years relevant experience, preferably in complex continuing care service provision.
  • Excellent computer skills, including MS Word, Excel, PowerPoint, Outlook, and Calendar.
  • Working knowledge of telephone systems, photocopiers, fax machines, printers, and other office equipment.
  • Excellent time management and organizational skills, with the ability to work under pressure and prioritize tasks effectively.
  • Strong customer service orientation and excellent verbal and written communication skills.
  • Ability to function independently and in a professional manner, with a demonstrated ability to maintain confidentiality.
  • Detail-oriented, dependable, mature, and flexible, with the capacity to handle complex tasks simultaneously.
