Daily Activities Overview

Project Coordination and Oversight

  • Facilitate support for Project Managers throughout the entire lifecycle of engineering design and construction initiatives, which includes but is not limited to: developing, tracking, and executing project plans, reports, proposals, contracts, and maintaining electronic project documentation, as well as reviewing and managing client invoices and budget assessments utilizing Dillon's financial management tools.
  • Assist in the design aspects (CADD design) of transportation and municipal infrastructure projects, integrating elements such as water supply, sewage systems, roadways, land development services, drainage solutions, and waste management.
  • Aid in the preparation of agreements and scope modifications for clients and sub-consultants/sub-contractors using Dillon's standard templates, while coordinating the contract review and approval process.
  • Provide support for general accounting tasks, including invoices, accounts payable, expense claims, and database management, as well as project closure activities.
  • Monitor, verify, and process invoices from sub-consultants/sub-contractors.
  • Assist project managers with document control systems among clients, consultants, and contractors, including tracking Requests for Information (RFIs), organizing project team meetings, and facilitating responses from technical teams.
  • Offer tailored project support to address specific project needs as required, such as:
  • Participating in project meetings to document and distribute minutes, engaging in client discussions, and coordinating with various departments within client organizations.
  • Provide support for construction contract administration, including procurement, payment certifications, change orders, reporting, and document management.
  • Coordinate detailed arrangements for project meetings, public engagement sessions, or workshops, covering venue selection, catering, display materials, and on-site event assistance.
  • Assist in the creation of project documentation (letters, memos, forms, specifications), including planning and maintaining schedules, compiling contributions from multiple authors, and ensuring quality and risk assessments are included.

Required Qualifications

Essential Skills for Success

  • Minimum of 5 years of experience in project administration, project coordination, or construction management, preferably with a background in engineering or civil engineering.
  • Post-secondary education in business administration or project management is considered beneficial.

Desired Experience

  • Familiarity with basic accounting principles, terminology, and financial functions.
  • Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Exceptional attention to detail, a strong commitment to accuracy, and the ability to deliver high-quality outputs.
  • Strong verbal and written communication skills.
  • Effective time management abilities and the capacity to prioritize tasks to meet tight deadlines while adapting to changing workload demands.
  • Excellent interpersonal skills and a positive, proactive attitude.
  • Capability to devise innovative solutions when faced with unexpected challenges or obstacles.
  • Experience with MS Project is an advantage.
  • Previous experience in a professional services consulting firm (engineering, environmental, or planning) is a plus.
