Portfolio Administrator, Investment Services Specialist

About the Role:

We are seeking a highly skilled Portfolio Administrator to join our team at Scotiabank. As a key member of our Private Investment Counsel team, you will play a critical role in providing exceptional client service and supporting the Relationship Managers in the management of client portfolios.

Key Responsibilities:

  • Client Service:
    • Develop and maintain strong relationships with clients, providing personalized service and support to meet their financial needs and goals.
    • Act as a key point of contact for clients, responding to inquiries and resolving issues in a timely and professional manner.
    • Prepare and deliver client reports, ensuring accurate and timely information is provided to clients.
    • Collaborate with Relationship Managers to develop and implement client wealth strategies, ensuring alignment with client goals and risk tolerance.
    • Manage client onboarding processes, ensuring seamless transitions and accurate documentation.
    • Maintain accurate client information and files, ensuring compliance with regulatory requirements.
  • Support Relationship Managers:
    • Provide administrative support to Relationship Managers, ensuring timely and accurate completion of tasks and projects.
    • Assist with business planning activities, including preparing and delivering client reports and presentations.
    • Collaborate with Trust Officers to ensure accurate and timely execution of investment strategies.
    • Support the development and implementation of client wealth strategies, ensuring alignment with client goals and risk tolerance.
  • Business Development:
    • Support the execution of marketing strategies to attract and retain valuable clients, including coordinating internal and external presentations and reports.
    • Collaborate with Relationship Managers to identify and pursue new business opportunities, ensuring alignment with client goals and risk tolerance.
    • Develop and maintain relationships with internal and external stakeholders, ensuring seamless communication and collaboration.
  • Risk Management/Compliance:
    • Ensure compliance with regulatory requirements, including anti-money laundering, anti-terrorist financing, and know-your-client regulations.
    • Collaborate with Relationship Managers to ensure accurate and timely execution of client portfolios, ensuring alignment with established firm strategy.
    • Participate in compliance and risk management activities, ensuring identification and mitigation of potential risks.
  • Team Membership:
    • Contribute to the effective functioning of the Private Investment Counsel team, ensuring seamless communication and collaboration.
    • Develop and maintain relationships with team members, ensuring a positive and inclusive team environment.
    • Participate in coaching sessions, touchbases, and team meetings, ensuring active engagement and contribution.

Requirements:

  • University degree in Business, Economics, Accounting, or Finance, or equivalent.
  • Two years of industry experience, preferably in a client service or business development role.
  • Strong relationship management skills, with ability to build and maintain strong relationships with clients and stakeholders.
  • Proficient in providing support to sales and business development activities, with ability to analyze and interpret financial data.
  • Strong interpersonal, communication, and listening skills, with ability to work effectively in a team environment.
  • Results-oriented, with ability to prioritize tasks and meet deadlines.
  • Self-motivated and disciplined, with ability to work independently and as part of a team.
  • Executes with integrity, with ability to maintain confidentiality and handle sensitive information.
